Job SummaryThe Donor Services Associate is a stewardship-rooted, non-fundraising professional responsible for the accurate and timely processing of charitable gifts in a manner that protects donor intent, ensures compliance, and supports high-quality stewardship and recognition. This role coordinates gift documentation, system entry, and reconciliation and serves as a key connector between data management, finance, donor communications, and stewardship functions. The Donor Services Associate does not solicit gifts and strengthens the Division of Development and Alumni Engagement by ensuring gifts are processed accurately, transparently, and in alignment with institutional policies and procedures.
Key Responsibilities- Receive, review, and process charitable gift documentation for completeness and accuracy.
- Enter gifts, pledges, and related transactions into institutional systems in accordance with university policies and procedures.
- Ensure gifts are recorded accurately and reflect donor intent and appropriate fund designation.
- Maintain accurate documentation related to gift processing and donor records.
- Assist with reconciliation activities between donor records and financial reports.
- Collaborate with colleagues across Development and Alumni Engagement to support donor acknowledgement and stewardship processes.
- Generate reports and respond to internal requests related to gift activity and donor records.
- Review records for completeness, coding accuracy, and compliance with institutional policies.
- Maintain confidentiality of donor and financial information.
- Support improvements to gift processing procedures, documentation, and internal controls.
- High school diploma or equivalent required. (Associate’s or bachelor’s degree preferred)
- Basic proficiency with computers and data entry systems.
- Strong attention to detail and commitment to accuracy.
- Ability to manage confidential donor and financial information responsibly.
- Strong organizational and time-management skills.
- Ability to follow established policies and procedures.
- Ability to collaborate with development, finance, and stewardship colleagues.
- Basic proficiency with spreadsheets, databases, and office software.
- Ability to identify discrepancies and follow through on corrections.
