Job Summary
- The Administrative Assistant provides administrative and clerical support to the Graduate Public Health Program to ensure the smooth operation of departmental activities. This position supports departmental communication, scheduling, record-keeping, program coordination, and student services. The Administrative Assistant works closely with the Department Head, faculty, students, university offices, and community partners to support the day-to-day functions of the program.

Job Duties
- Provide administrative support to the Department Head and faculty. Prepare meeting agendas, take meeting minutes, and distribute summaries. Correspond with students, faculty, university offices, and community partners regarding departmental activities and student services. Support communication related to program events, public health activities, and student engagement initiatives. Maintain organized physical and electronic files for the department. Maintain office supplies and assist with general office needs.
Assist with scheduling and logistics for departmental meetings, seminars, trainings, and public health activities. Coordinate meeting spaces, equipment, materials, and accommodations as needed. Support tracking of program activities and maintaining departmental records. Assist with preparation of reports related to enrollment, budgets, and program activities. Maintain accurate and confidential records of departmental documents and reports. Support updates to departmental databases and spreadsheets.
File and organize departmental documents, meeting minutes, and records for future reference. Assist with dissemination of program information and event announcements. Assist with organizing and tracking documents related to student recruitment, admissions, matriculation, and graduation. Update departmental databases with student academic progress. Assist with scheduling classes, meetings, advising appointments, and departmental activities. Support student orientation, workshops, seminars, and departmental events.
Respond to routine inquiries from current and prospective students. Perform other related duties as assigned to support departmental operations.
Qualifications (Education, Experience and Specialized Training) - Bachelor's degree in education, public health, or a related field. At least two (2) years of experience in a related support role. Experience working in an academic environment preferred.
Physical Demands
- Ability to operate standard office equipment. Ability to walk short distances. Ability to lift and carry office materials. Ability to work at a computer for extended periods.
Skills and Attributes
- Professional written and verbal communication skills. Proficiency in Microsoft Office (Word, Excel, Outlook). Ability to prioritize structured tasks and meet deadlines. Ability to maintain confidentiality and accuracy in record keeping. Ability to work effectively with diverse populations.
