Job Summary
- Responsible for providing administrative support for the Veterinary Teaching Hospital and providing effective communication between the VTH director and internal/external constituents.

Job Duties
- Coordinate and manage hospital administrative functions as assigned. Keep the Veterinary Teaching Hospital (VTH) director and faculty/staff appraise of all events and activities between the College and the department of Clinical Sciences. Prepare and compose correspondence, reports, memoranda, and other documents. Assist VTH director in preparing all internal and external reports and presentations. Gather information needed to compile and prepare reports from multiple sources.
Coordinate and attend VTH meetings, prepare agendas, transcribe and distribute minutes. Answer and relay telephone calls, resolve routine/standard inquiries, and take appropriate messages. Serve as primary contact for the Hospital Director. Prepare and process requisitions, invoices and other budget related documents. Coordinate and maintain calendar of events, appointments, meetings, and travel itineraries for the VTH director and hospital staff. Coordinate travel for hospital director and staff.
Maintain departmental calendars, faculty and staff records, and job descriptions. Manage timekeeping, leave and payroll for assigned personnel. Support hiring process and coordinate onboarding process for staff. Develop and/or Maintain records and file systems to effectively manage information. Maintain and organize operational procedures to maintain an efficient flow of work. Coordinate hospital activities as directed by the VTH director. Serve as exam proctor as needed.
Perform other duties as assigned
Qualifications (Education, Experience and Specialized Training) - At least four (4) years of secretarial experience or an equivalent combination of education and related experience required. Associate degree or secretarial-related certification are preferred.
Skills and Attributes
- Knowledge of computerized office procedures and Microsoft office suite. Ability to operate standard office equipment. Strong interpersonal, oral and written communication skills. Ability to work effectively with people from diverse ethnic backgrounds Ability to work independently as well as collaborate with others as a team member. Must possess interpersonal and communication skills to work effectively with faculty, staff, and students in a collegial and diverse team environment.
