The Executive Assistant provides professional support to the Chief Financial Officer, including project management and administrative support responsibilities. The role involves independently set‑up and manage office and administration functions, maintaining timeliness and execution of tasks daily.
Responsibilities- Provide administrative services to the CFO and his team of direct reports
- Coordinate with the CFO and leadership group about special projects, assignments, and company events
- Provide administrative services for projects aligned with corporate goals and objectives
- Manage day‑to‑day operations: schedules, correspondence, e‑mail, phones, purchase requests, travel arrangements, presentations, etc.
- Schedule appointments, conference calls, and coordinate arrangements for meetings
- Support event planning as requested
- Prepare various reports
- Order and maintain supplies
- Organize necessary office/desk moves for the department
- Prepare and process routine forms, documents, correspondence, expense reports, requisitions, purchase orders, following standard procedures
- Organize and maintain file system, prepare copies of correspondence; maintain confidentiality when required
- Work collaboratively to achieve goals and complete assigned tasks
- High school diploma or GED
- Highly organized, detail‑oriented, able to handle multiple priorities in a fast‑paced environment
- High degree of personal and professional integrity; ability to work with confidential information
- Self‑directed, ownership, and ability to see projects to completion timely
- Effective oral and written communication with senior management and employees
- High sense of responsibility; work without close supervision
- Maintain confidentiality of information learned in job performance
- Proficient in Microsoft Office (Excel, Word, PowerPoint, Outlook); skills in Zoom, MS Teams, SharePoint, Adobe PDF; ability to prepare expense and reimbursement reports; quick adaptation to new technologies
- Knowledge of proper formats for letters, grammar, spelling, language usage; produce neat, accurate correspondence
- Project management skills desirable
- Perform administrative duties with accuracy, confidentiality, discretion, independent judgment
- Team player; work collaboratively with all levels of management
- Excellent interpersonal skills
- Willingness to adjust thinking and behavior
- Communicate in a timely, respectful, open manner
- Minimum of 10 years’ experience in an administrative support role, preferably for a C‑suite executive
- Prior experience providing high‑level support to Boards and Committees
- Experience with electronic board portal (e.g., Diligent)
- Notary certificate
The annual U.S. base salary range for this full‑time position is $81,650.00–$. The base pay actually offered will vary based on job‑related knowledge, skills, location, and experience, and will take into account internal equity. Other forms of pay (e.g., bonus or long‑term incentive) may be provided as part of the compensation package, in addition to a full range of medical, financial, and other benefits, dependent on the position offered.
