Purpose of Position

The Technical Records Specialist 1 position is assigned to the Statewide Program Processes Unit and provides records management and administrative support within a Vocational Rehabilitation setting. This position is responsible for reviewing and processing documentation, maintaining accurate case records, ensuring compliance with IDVR policies and state/federal regulations, and delivering high-quality customer service to students, participants, staff, and other stakeholders. The position supports the daily operations of the Pre-ETS and Employment Services team members through comprehensive office support and technical assistance.

DUTIES AND RESPONSIBILITIES

Includes but are not limited to the following:

Records and Data Management
  • Maintain electronic records and documentation in accordance with agency policies, confidentiality requirements, and records retention standards
  • Process, organize, scan, and index documents to support accurate case file maintenance
  • Review incoming documentation for completeness and ensure required information is obtained
  • Process and respond to Disability Determination Services (DDS) records requests in accordance with established procedures
  • Enter participant data into case management system, as assigned
Office Support and Administrative Duties
  • Draft authorizations for services and submit for review and approval in accordance with agency policies and procedures
  • Monitor shared communication channels, including fax lines and electronic document submissions, ensuring timely distribution and follow-up
  • Answer and route statewide telephone calls, providing information and directing individuals to appropriate agency staff and services
  • Provide information regarding Pre-ETS and Employment Services procedures, rules, and program eligibility, ensuring quality customer service in all interactions
  • Schedule intake appointments and coordinate applicant communications
  • Respond to general inquiries regarding agency programs and services
  • Compose and format professional correspondence; review for completeness of Agency forms; and maintain office records in an orderly fashion
  • Receive, review, route, and distribute incoming mail and documentation, and manage outgoing correspondence efficiently
Compliance and Confidentiality
  • Ensure the confidentiality and security of participant information and Personally Identifiable Information (PII) at all times
  • Complete assigned duties in compliance with agency policies, procedures, and regulatory requirements
  • Support quality assurance efforts by maintaining accurate records and documentation
Minimum Qualifications
Experience
  • Monitoring a records system to identify and correct errors: typically gained by at least six (6) months of full-time work experience where monitoring a records system and fixing errors was a key responsibility of the job
