The Administrative Assistant for CSI Early College (EC) is a critical part-time position that provides essential administrative and operational support for the College's Early College Program, which serves the largest student population at the College of Southern Idaho. As the primary point of contact for thousands of dual credit and early college students, parents, high school partners, faculty, and campus departments, this position plays a vital role in ensuring students receive timely, accurate, and effective support throughout their educational journey.
This position will report to the Early College Senior Coordinator.
Serving as the front-line representative for the department, the Administrative Assistant manages walk-in traffic, responds to a high volume of phone and email inquiries, and coordinates communication between students, high schools, faculty, Enrollment Services, and the Business Office. The position also provides critical support to Early College team members serving schools across CSI's expansive service area, ensuring continuity of operations while staff are working in the field.
This role is particularly important because the Early College Program supports the College's largest enrollment pipeline and provides educational opportunities for high school students earning college credit while still in high school. The Administrative Assistant contributes directly to student access, enrollment success, and partner satisfaction by coordinating program activities, supporting registration and enrollment processes, maintaining accurate student records, facilitating communication, and ensuring compliance with institutional and state requirements.
Through exceptional customer service, strong organizational skills, and attention to detail, the Administrative Assistant helps sustain the daily operations of one of CSI's most visible and impactful programs. The position supports the institution's mission by helping remove barriers to higher education, strengthening relationships with regional high schools, and ensuring a positive experience for the thousands of students and families served through Early College each year.
Key Responsibilities- Serve as a primary point of contact for dual credit students, parents, administrators, teachers, and college faculty by responding to inquiries via phone, email, and in-person interactions.
- Coordinate and maintain office supply inventory for the Early College team.
- Manage and distribute incoming department mail and correspondence.
- Maintain an organized, professional, and welcoming office environment, including conference and meeting spaces.
- Support department operations by assisting with administrative projects, scheduling, and workflow coordination.
- Assist students through the dual credit admissions and registration process.
- Process enrollment applications and related documentation within Dual Enroll.
- Maintain accurate and confidential student records in Dual Enroll, Anthology Student, Reach, and other applicable systems.
- Ensure data integrity and compliance with institutional policies and procedures.
- Provide exceptional customer service to students, parents, high school personnel, faculty, and campus partners.
- Respond to inquiries in a timely, accurate, and professional manner.
- Coordinate meeting logistics, prepare agendas and materials, and document meeting notes as needed.
- Assist with the preparation and distribution of communications, including newsletters and updates for high school counselors and educational partners.
- Foster positive relationships with students, families, and school district partners while representing the College in a professional manner.
- Assist the Early College Registration Specialist with data entry and processing related to student admissions, registration, and enrollment.
- Support Early College Coordinators with student check-in data collection and entry.
