The CTE Retention and Completion Specialist serves as the primary point of contact for all Career and Technical Education (CTE) programs. This role supports students, faculty, and staff by managing graduation applications, major changes, and other student record-related processes. The specialist ensures compliance with institutional policies and provides excellent customer service for all CTE-related inquiries.
Key Responsibilities CTE Graduation Applications (30%)- Review and process graduation applications for students in CTE programs, ensuring eligibility and accuracy.
- Confer degrees and credentials for eligible CTE students at the conclusion of each semester.
- Support graduation-related activities such as Grad Fest, Apply for Graduation events, and Commencement ceremonies.
- Serve as the primary contact for CTE students regarding graduation requirements and timelines.
- Enter and verify approved course substitutions and alternative credit into the student information system for CTE programs, ensuring that all substitutions and credits are properly documented and reflect the student’s updated academic plan.
- Maintain accurate student records and update information in the student information system.
- Serve as the primary point of contact for students regarding CTE graduation requirements, academic records, and major changes.
- Respond promptly and professionally to inquiries from students, faculty, and staff related to CTE academic records and graduation.
- Guide students through the steps needed to meet CTE program requirements and troubleshoot graduation-related issues.
- Work closely with faculty, advisors, and other departments to ensure accurate tracking of student progress and program completion.
- Prepare reports and assist with compliance requirements for CTE programs.

- Support general registrar functions related to CTE programs, including data entry, record maintenance, and other operational tasks.
- Participate in office-wide projects such as updating procedural manuals, improving workflows, and enhancing service delivery.
- Respond to queries from faculty, staff, and students on policies and procedures.
- Ensure compliance with FERPA and institutional standards for data privacy and student record security.
- Associate’s degree required.
- Bachelor’s degree in counseling, education, human services, or related area preferred.
- Experience in academic advising, student services, or registrar functions preferred.
- Knowledge of Career and Technical Education programs and graduation requirements.
- Strong organizational and communication skills.
- Ability to manage multiple priorities and work collaboratively across departments.
- Proficiency with student information systems and office software.
- Detail-oriented with a focus on accuracy and compliance.
- Excellent customer service skills, interacting effectively with students, faculty, and staff.
- Ability to analyze and solve problems independently.
