Job Summary
The Purchasing, Planning & Inventory Specialist is responsible for supporting the efficient flow of materials throughout the manufacturing operation by coordinating purchasing, production planning, and inventory control activities. This position ensures raw materials, components, and supplies are available to meet production requirements while maintaining appropriate inventory levels and accurate system data. This role works closely with Production, Quality, Customer Service, Shipping/Receiving, and other cross-functional partners to align material availability and production schedules with customer demand.
The Purchasing, Planning & Inventory Specialist will proactively identify shortages, inventory discrepancies, supplier delays, and other constraints that may impact production or customer commitments. This role is on-site, 5 days a week.
Essential Functions
Purchasing & Material Management
- Purchase raw materials, components, supplies, and other materials required to support manufacturing operations.
- Create, issue, and maintain purchase orders within the ERP/MRP system.
- Review MRP requirements and purchasing recommendations to determine material needs and appropriate order timing.
- Monitor open purchase orders and follow up with suppliers regarding confirmations, delivery dates, shortages, and past-due materials.
- Expedite materials as necessary to support production requirements and customer commitments.
- Communicate supplier delays, material shortages, and other potential disruptions to appropriate internal stakeholders.
- Work with suppliers to resolve discrepancies related to pricing, quantities, deliveries, documentation, or purchase orders.
- Maintain accurate supplier information, lead times, purchasing parameters, and related system data.
- Support supplier performance monitoring and sourcing activities as needed.
- Identify opportunities to improve purchasing efficiency, material availability, and cost effectiveness.
Production & Material Planning
- Review customer demand, production requirements, inventory levels, open orders, and material availability to support production planning.
- Develop and maintain production schedules in coordination with Operations and other key stakeholders.
- Review MRP outputs and take appropriate purchasing and planning actions based on system recommendations and business requirements.
- Evaluate material availability against planned production and proactively identify potential shortages or constraints.
- Adjust production and material plans based on changing customer demand, operational priorities, material availability, and capacity.
- Coordinate with Production, Customer Service, Quality, and Shipping to communicate scheduling priorities, changes, and potential delays.
- Monitor supplier and manufacturing lead times and communicate risks that could impact production schedules or customer delivery commitments.
- Support effective utilization of available inventory while minimizing excess material and unnecessary purchases.
Inventory Control
- Monitor inventory levels of raw materials, components, work-in-process, and finished goods to support production and customer requirements.
- Maintain accurate inventory records and planning parameters within the ERP/MRP system.
- Research and resolve inventory discrepancies in partnership with Production, Shipping/Receiving, Quality, and other departments.
- Coordinate and participate in cycle counts and physical inventory activities.
