Summary:

The Field Accounting Manager manages the day-to-day financial, accounting, administrative, and internal-control activities for assigned dining operations. This position serves as the primary financial partner to account and district leadership, operational and culinary teams, client representatives, and corporate support functions.

The role ensures that financial activity across dining operations and profit centers is accurately recorded, reconciled, documented, and reported. The Field Accounting Manager proactively identifies discrepancies, determines root causes, and coordinates resolution so leaders can make timely, informed decisions. Operational and culinary leaders retain responsibility for scheduling, employee management, daily operations, and physical inventory.

Responsibilities:

Financial Administration and Systems Manage daily financial workflows, records, and control checklists for all operating locations and profit centers.

Ensure financial transactions are entered accurately, coded correctly, supported by documentation, and recorded in the appropriate accounting period.

Review financial systems for missing or duplicate entries, unusual activity, and coding errors; coordinate corrections with corporate Accounting and Finance.

Sales Payment and Meal Plan Reconciliation Reconcile point-of-sale activity to cash, deposits, credit and debit card activity, meal plans, campus payment methods, catering sales, and other tender types.

Verify that revenue flows to the correct location, category, program, and profit center.

Research and resolve differences among point-of-sale reports, payment processing, internal workbooks, financial systems, and financial statements.

Inventory and Cost Management Confirm required inventories are completed on time and recorded accurately by location, profit center, and accounting period.

Analyze food and beverage cost performance and investigate material variances with culinary and operational leaders.

Ensure transfers, waste, spoilage, vendor credits, and inventory adjustments are documented and reflected accurately.

Accounts Payable Accounts Receivable and Catering Track vendor invoices and ensure they are received, approved, coded, entered, and resolved on time, including outstanding invoices and vendor credits.

Ensure catering and other billable activity is invoiced accurately in the correct period and supported by event documentation and approved pricing.

Monitor outstanding receivables and coordinate collection, payment, and vendor issues with account leadership and corporate Accounting.

Licensed Branded and Partner Operations Reconcile sales, purchases, payment activity, inventory, and contractual fees for licensed concepts, subcontractors, and revenue-sharing partners, as applicable.

Maintain supporting documentation and ensure partner expenses, payments, and retained revenue are reflected accurately in account financial results.

Expense Labor and Payroll Controls Reconcile purchasing card and reimbursable expense activity, including receipts, approvals, business purpose, coding, and timely resolution of missing documentation.

Review labor results by location and department, compare actual results with budget or forecast, and identify overtime and material variances.

Support reconciliation of payroll and timekeeping discrepancies and provide actionable labor reporting to operational leaders.

Financial Reporting and Month End Close Prepare weekly reporting that highlights financial performance, material variances, risks, and required actions.

Coordinate account-level month-end close and confirm that financial activity is complete and recorded in the correct period.
