Under the direct supervision of the Support Services Division Lieutenant, this position provides administrative support for the Police Department. In addition to typing, filing, and scheduling, performs duties such as criminal case preparation. Fulfilment of open records requests. Financial record keeping. Coordination of meetings and working on special projects. Answers non-routine correspondence and assembles highly confidential and sensitive information. Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization.
Recommends changes in Division practices or procedures.
- Provide resources and information to general public in office and by phone concerning routing questions.
- Completes criminal case files for submission to prosecutors.
- Perform cash handling functions and conducts financial audits.
- Provides support to property room manager with intake and purge of evidence.
- Maintains coordination with criminal prosecutor's office.
- Maintains and records monthly FBI/NIBRS crime data.
- Access, handle, and safeguard Criminal Justice Information (CJI) in compliance with CJIS Security Policy: TCIC/NCIC rules, and departmental policy.
- Coordinate enrollment of officers or dispatchers in courses they are required to take to keep their certification. Book necessary hotel reservations for training and setup resources for participation.
- Generate reports.
- Order supplies to maintain inventory.
- Contributes to team effort by performing other related duties as assigned.
- Independent judgement is required to plan, prioritize, and organize diversified workload.
- Good working knowledge of Microsoft Office:
Excel, Word, Outlook, PowerPoint and Publisher. - Record Keeping:
Principles and practices for collection and recording of information for use in reporting presentations. - Applied Math:
Concepts such as fractions, percentages, ratios, and proportions. - English Language:
The structure and content of the English language, including the meaning of words and grammar. - Office Systems:
Administrative/clerical and financial procedures and systems such as work-processing, records managements systems, and other office procedures. - Office Software:
Current word processing, presentation, spreadsheet, and database programs used by the city. - Accuracy:
Attention to detail in dealing with numbers, words, and ideas. - Basic Math:
Adding subtracting, multiplying, or dividing quickly. - Active Listening:
Listening to what others are saying and asking questions as appropriate.
