Position: Administrative Assistant (Airport)

Provide administrative support for Airport Staff. Provide support and direction to staff members and citizens.

  • Answer and route incoming calls, greet visitors both internal and external
  • Open, sort and route incoming mail
  • Prepare payroll and personnel forms
  • Accounts Payable, Accounts Receivable, Petty cash
  • Enter all receipt batches in appropriate software and prepare bank deposits
  • Manage security badge control, airfield gate card control, building access control, and parking tag records along with other Trusted Agent responsibilities
  • Manage office supplies & janitorial supplies
  • Perform airport tours
  • Manage reservations of conference room
  • Prepare agenda for Airport Advisory Board, take minutes and prepare agenda packets for board members – give update on airport activity
  • Gather information to develop and monitor airport activity and statistical reports on a monthly, quarterly, and annual basis
  • Record Retention Officer
  • Process Helicopter permits
  • Other Job Functions
  • Assist in maintaining and preparing tenant leases and contracts
  • Assist in preparing Airport Advisory Board communications, Half Cent Sales Tax Board and City Council communications
  • Assist with maintaining airport website
  • Assist with preparation of annual budget
  • Assist with managing cash receipts from parking system
  • Performs other related duties as assigned.
  • Skills, Knowledge and Abilities
  • Must be able to complete the Trusted Agent certification within 60 days of employment
  • Must be able to pass a 10‑year criminal history check (per FAA guidelines)
  • Must possess extensive knowledge of administrative duties and be able to handle a variety of interruptions while continuing to follow through with project or routine assignment.
    • Must have a comprehensive knowledge of modern office methods, practices, and procedures
    • Must have experience and extensive knowledge of Adobe Acrobat, Fox It Phantom PDF, Office, Microsoft Excel, and Microsoft Power Point
  • Must be able to prioritize and move from one project to another as needed.
  • Must be able to work independently
  • Must be able to properly handle confidential information
  • Must have the ability to establish and maintain effective working relationships with others and the ability to exercise independent judgment and make sound decisions
  • Must be able to sit 7 hours daily; twist 2 hours daily; stand 1 hour daily; bend, stoop, turn and walk 30 minutes daily; lift carry, push and pull up to 10 lbs 15 minutes daily
  • Education and Experience
    • Must possess Associate’s Degree or other related two‑year vocational certificate
    • One year of clerical or secretarial experience, prefer three years.
    • Must have a valid Texas Class “C” driver’s license

    Will accept an equivalent combination of training (two years’ experience for each year of education in addition to required experience)
