Position: Administrative Assistant (Airport)
Provide administrative support for Airport Staff. Provide support and direction to staff members and citizens.
Answer and route incoming calls, greet visitors both internal and externalOpen, sort and route incoming mailPrepare payroll and personnel formsAccounts Payable, Accounts Receivable, Petty cashEnter all receipt batches in appropriate software and prepare bank depositsManage security badge control, airfield gate card control, building access control, and parking tag records along with other Trusted Agent responsibilitiesManage office supplies & janitorial suppliesPerform airport toursManage reservations of conference roomPrepare agenda for Airport Advisory Board, take minutes and prepare agenda packets for board members – give update on airport activityGather information to develop and monitor airport activity and statistical reports on a monthly, quarterly, and annual basisRecord Retention OfficerProcess Helicopter permitsOther Job Functions
Assist in maintaining and preparing tenant leases and contractsAssist in preparing Airport Advisory Board communications, Half Cent Sales Tax Board and City Council communicationsAssist with maintaining airport websiteAssist with preparation of annual budgetAssist with managing cash receipts from parking systemPerforms other related duties as assigned.Skills, Knowledge and Abilities
Must be able to complete the Trusted Agent certification within 60 days of employmentMust be able to pass a 10‑year criminal history check (per FAA guidelines)Must possess extensive knowledge of administrative duties and be able to handle a variety of interruptions while continuing to follow through with project or routine assignment.- Must have a comprehensive knowledge of modern office methods, practices, and procedures
- Must have experience and extensive knowledge of Adobe Acrobat, Fox It Phantom PDF, Office, Microsoft Excel, and Microsoft Power Point
Must be able to prioritize and move from one project to another as needed.Must be able to work independentlyMust be able to properly handle confidential informationMust have the ability to establish and maintain effective working relationships with others and the ability to exercise independent judgment and make sound decisionsMust be able to sit 7 hours daily; twist 2 hours daily; stand 1 hour daily; bend, stoop, turn and walk 30 minutes daily; lift carry, push and pull up to 10 lbs 15 minutes dailyEducation and Experience
- Must possess Associate’s Degree or other related two‑year vocational certificate
- One year of clerical or secretarial experience, prefer three years.
- Must have a valid Texas Class “C” driver’s license
Will accept an equivalent combination of training (two years’ experience for each year of education in addition to required experience)
