Job Summary
The Project Coordinator provides contract-based, project coordination support for ASPPB’s examination programs. Reporting to the Director of Examinations Operations, this position supports the coordination, documentation, and monitoring of projects related to the development, maintenance, and administration of ASPPB examinations. The Project Coordinator works collaboratively with ASPPB staff to support timely, accurate, and effective examination services projects and deliverables.
Principle Responsibilities- Support the coordination of projects and initiatives associated with ASPPB examination programs, including planning, tracking, communicating, documenting, and follow‑up activities.
- Maintain project schedules, task lists, and milestones to support on‑time completion of examination‑related deliverables.
- Monitor project progress and communicate status updates, risks, and issues to the Director of Examinations Operations.
- Create and maintain streamlined notification systems slowing project members to stay updated on all phases of assignments throughout projects.
- Attend examination staff meetings as appropriate.
- In collaboration with the Director of Examination Operations, communicate established timelines and status updates for deliverables to the examination staff, ASPPB leadership, and other as necessary.
- Manage information flows from examination staff who engage and oversee the work of examination committees and task forces.
- Manage communication of project overlaps across all connected examination projects to the Director of Examinations Operations and the Associate Executive Officer of Examination Services.
- Maintain high level organization of project documentation, records, and files in accordance with ASPPB documentation practices.
- Update all project documentation as close to real‑time as possible for immediate distribution to appropriate stakeholders.
- Assist in the preparation of reports, summaries, and briefing materials related to examination projects and operational activities.
- Support data tracking and basic reporting to inform decision‑making and continuous improvement.
- Assist with process documentation and updates to support operational consistency and efficiency.
- Support quality assurance efforts related to project coordination.
- Other duties as assigned.
- Bachelor’s degree or equivalent combination of education and relevant experience.
- Minimum two years of experience in project coordination, program support, or related administrative roles.
- Demonstrated ability to manage multiple projects and deadlines with a high level of organization and attention to detail.
- Strong written and verbal communication skills.
- Ability to work independently while collaborating effectively within a distributed team environment.
- Proficiency in use of digital project management tools (PM software).
- Ability to understand, communicate, and create user‑friendly documentation of complex information.
- Experience working with professional regulatory organizations, credentialing bodies, or nonprofit associations, preferred.
- Familiarity with examination, licensure, or assessment‑related programs, preferred.
- Ability to communicate professionally with a wide range of individuals in a professional, personable and helpful manner.
- Contract position, approximately 20 hours/week. Flexible schedule, coordinated with the needs of Examinations Operations.
