Position DescriptionThe Jobsite Administrator supports daily office operations for multiple departments and projects across the region. The role requires a service‑oriented team member who can take initiative, work independently, and adapt quickly in a fast‑paced work environment.
Essential Duties- Greet visitors and partners, handle visitor check‑in.
- Answer the central phone line and direct calls.
- Provide administrative support to office executives, estimating, marketing, operations, and regional operational needs.
- Manage and update the jobsite calendar with events and meetings; schedule conference rooms and coordinate food and beverages.
- Compose routine correspondence and distribute to personnel and trade partners.
- Maintain office machines, supplies; order inventory and schedule service.
- Submit weekly payroll for all office personnel and process invoices.
- Archive project documentation via project management software.
- Check and distribute daily mail.
- Coordinate building security access and parking; manage badging and renewals.
- Schedule travel arrangements and hotel accommodations for executives and employees; assist with special events.
- Oversee company fleet – register, insure, and track vehicles.
- Help with new hire onboarding via UKG Onboarding.
- Light work (up to 25 lbs. occasionally, up to 10 lbs. frequently).
- Walking, kneeling, sitting, crouching, reaching, stooping, reading, speaking, pushing, pulling, lifting, standing, typing as per workflow.
- Move about within the office as needed.
- Operate computer and office machinery constantly.
- Frequent communication with employees and stakeholders.
- Compute, analyze, and conceptualize mathematical calculations.
- Read and view written communications and emails.
- Remain seated near computer screen regularly.
- Visual acuity required; ability to operate a vehicle as certified.
- Rare exposure to high/low temperatures, noise, precipitation, and wind.
High School or GED.
Qualifications- Associate degree preferred.
- 2+ years of administrative experience.
- Proficiency in Microsoft Word, Excel, and Outlook.
- Excellent oral and written communication; customer‑service oriented.
- Collaborative, innovative, quick learner.
- Attention to detail, organized, multitaskable.
- Certification of Notary (within 60 days of hire).
