Construction Office Coordinator – Sabey Construction, Inc.

Location: Umatilla, OR

Salary: $48,235 - $72,352 (annual base)

Sabey Construction, Inc. (SCI) is a specialized in‑house builder behind Sabey Corporation's most ambitious and technically complex projects. This newly created role will serve as the administrative backbone of a growing data center construction project in Umatilla, OR. The position supports project managers, engineers, and superintendents with document control, meeting coordination, site logistics, office management, and general administrative support.

Responsibilities
  • Set up and maintain the jobsite office, including supplies, equipment, and filing systems.
  • Serve as the primary point of contact for office‑related needs and inquiries at the project site.
  • Manage incoming correspondence, deliveries, and visitors.
  • Coordinate jobsite onboarding activities, including badges, parking access, and required documentation.
  • Prepare and distribute reports, meeting minutes, and project communications.
  • Support document control processes and maintain accurate project records.
  • Assist with purchase orders, expense tracking, credit‑card documentation, and material procurement records.
  • Maintain project tracking logs, including rental equipment, labor reports, change orders, and security badges.
  • Organize and maintain electronic filing systems and project documentation.
  • Schedule and coordinate meetings, conference calls, travel arrangements, site visits, team events, and other project activities.
  • Attend construction meetings, document key discussions, and distribute meeting notes.
  • Collaborate with project stakeholders, subcontractors, vendors, and internal teams to support successful project execution.
  • Assist with contract administration activities, including subcontracts, change orders, purchase orders, professional service agreements, material supply agreements, non‑disclosure agreements, and close‑out documentation.
  • Review subcontractor invoices for compliance with contract requirements.
  • Embody Sabey's core values in all interactions and responsibilities.
Qualifications
  • 3+ years of administrative experience, preferably within the construction industry.
  • Strong organizational skills with exceptional attention to detail and accuracy.
  • Ability to prioritize multiple responsibilities and adapt in a fast‑paced project environment.
  • Proficiency with Microsoft Office applications, especially Excel.
  • Experience with document management, project tracking, and administrative coordination.
  • Experience with Yardi is a plus.
  • Strong written and verbal communication skills.
  • Ability to build positive working relationships with employees, clients, subcontractors, and business partners.
  • Self‑motivated with the ability to work independently and manage competing priorities.
  • Aptitude and willingness to learn and utilize AI tools and emerging technologies.
