Warren County Courthouse: Adult Probation Department

Grade & Wage: $17.71 Per Hour (Non-Exempt)

Status: Full-time with Benefits, Union Eligible

Location: Warren County, PA

Reports To: Senior Probation Aide, Deputy Chief, and Chief Adult Probation Officer

Position Summary

The Warren County Adult Probation Department is seeking a detail-oriented and dependable Probation Aide to provide administrative and operational support to probation officers and court operations. This position plays a key role in ensuring the efficient coordination, organization, and processing of probation-related activities, documentation, and court support functions.

Administrative Support
  • Serve as the first point of contact for the Adult Probation Office by answering phone calls, greeting clients and visitors, and directing inquiries appropriately.
  • Assist probation clients with completing required forms and accept, record, and process payments.
  • Maintain accurate and organized filing systems for case records, complaints, victim claim forms, impact statements, pending paperwork, and closed cases.
  • Date‑stamp, copy, file, fax, and distribute court documents including court lists, client lists, transfers, dismissals, expungements, jail releases, and Good Time forms.
  • Type and distribute department correspondence, reports, letters, memoranda, and purchase orders.
  • Process and record incoming and outgoing mail, invoices, criminal complaints, ARD applications, CRNs, and related documentation.
  • Maintain rap sheet records in accordance with department procedures.
  • Prepare and type probation‑related legal documents such as Rules and Conditions, transfers, and amended Pre‑Sentence Investigations (PSIs).
  • Collect court‑ordered urine screens.
  • Process DNA collection packets for offenders through the Pennsylvania State Police.
  • Review intake packets with defendants following Plea Court.
  • Remove and replace drug monitoring patches and complete SCRAM device downloads as required.
Court Coordination
  • Gather, organize, and distribute case files and materials for Arraignments, Plea Court, Sentencing Court, Revocation Hearings, and ARD/ARD‑DUI Court.
  • Record court decisions and enter sentencing information into the computer system following hearings.
Reports & Documentation
  • Assist in preparing departmental activity and statistical reports.
  • Support the preparation of pre‑sentence, progress, conduct, violation reports, sentencing addendums, and end‑of‑supervision summaries.
  • Run rap sheets prior to Plea Court proceedings.
Additional Duties
  • Assume the responsibilities of the Senior Probation Aide in their absence.
  • Perform additional duties as assigned to support the Adult Probation Office.
Qualifications Education
  • High school diploma required (business practices emphasis preferred)
  • Training as a legal secretary and/or formal computer and typing instruction is a plus
Experience
  • 2–4 years of office or administrative experience required
  • Experience in a legal, court, or probation environment preferred
Required Skills & Abilities
  • Typing proficiency of 60–80 words per minute
  • Strong organizational skills with the ability to prioritize tasks and meet deadlines
  • High level of attention to detail and accuracy
  • Proficiency with computer applications and office technology
  • Knowledge of court procedures and Adult Probation regulations (or ability to learn quickly)
  • Ability to work independently and handle confidential information responsibly
  • Excellent interpersonal and communication skills, including the ability to deal professionally with difficult individuals in stressful situations
  • Ability to travel for training and professional development as required
