Union – Student Office Assistant – Student Involvement

Position will begin in August with interviews likely to begin in mid-late July. Also includes 2 mandatory training days

Position

Description:

Student Involvement (SI) office assistants provide student-to-student support at the Student Involvement Front Desk. It is their job to manage questions, navigate problems and ideas from students, and connect them to applicable resources, staff, and processes. This position provides essential administrative support and facilitates business and reception services while serving as the initial point of contact for students, staff, and visitors.

We are located in the Union, Room 351.

Part-time (8+ hours per week based on class schedule & need in office).

Wage is $11.00 per hour with regularly scheduled increases based on performance.

Position Responsibilities:
  • Support the 300 student organizations and individual students across campus in collaboration with the Assistant Director of student organizations, office manager & fellow office assistants.
  • Update and maintain student organization database (Campus Groups).
  • Implement the student organization annual fall renewal registration process, including collection of information and submissions (such as inventory reports, office access lists, etc.) and verification of officer and member enrollment.
  • Serve as primary receptionist, greeting, directing, and assisting students & visitors.
  • Perform general clerical duties including data entry, word processing, updating files and calendars, photocopying, faxing, scanning, mailing, mail merges, generating reports, and filing.
  • Present a positive, professional image while ensuring exceptional customer service.
  • Support staff & student organizations by managing mail, logging packages, taking messages & supporting meetings.
  • Maintain/clean front reception area, supply/storage rooms & Union meditation space.
  • Oversee the student organization inventory/surplus management, troubleshoot database discrepancies and missing items.
  • Provide extra support at fall welcome events & other key events through the semester/academic year.
  • Staff department table at various campus events as assigned.
  • Perform other duties as assigned by the office manager.
Minimum Qualifications:
  • Must be a currently enrolled UW-Milwaukee student with a 2.75 GPA or higher.
  • Demonstrate a high level of responsibility, ability to work independently, confidentiality, and a commitment to diversity and customer service.
  • Knowledge of and/or willingness to learn the operations and services of student activities and organizations.
  • Ability to communicate clearly, courteously, and professionally.
  • Minimum two-semester commitment to this position.
Preferred Qualifications:
  • Proficient in Microsoft Office Suite (Word, Excel, Teams, SharePoint, etc.).
  • Experience in a customer service role.
  • Attention to detail.
  • Problem-solving skills and resourcefulness.
  • Effective communication with diverse customers, supervisors, co-workers, and student staff.
  • Willingness to work in a versatile, adaptable environment under pressure.
Working Conditions:

Office environment with exposure to low-level noise and chemicals from equipment such as copiers, computers, and printers.

Equipment Used:

Personal computers, laser printers, copy machines, fax machines, label makers, shredders, telephones, and calculators.
