About the role- Waterford is seeking an Office Administrator who will be responsible for ensuring the smooth day‑to‑day operations of the office. This role supports onsite team members, manages administrative tasks, and helps maintain an organized and efficient work environment. The Office Administrator acts as a central point of contact for internal and external communications.
- Administrative Support
- Manage office correspondence, including emails, phone calls, and mail
- Maintain filing systems (physical and electronic)
- Schedule appointments, meetings, and conference calls
- Prepare reports, presentations, and documents as needed
- Office Operations
- Oversee office supplies inventory and order new supplies when necessary
- Coordinate maintenance and repair of office equipment
- Ensure office cleanliness and organization
- Assist with onboarding new employees (workspace setup, materials, etc.)
- Communication & Coordination
- Act as the first point of contact for visitors and clients
- Coordinate internal communications and announcements
- Liaise with vendors, service providers, and external partners
- Assist with basic bookkeeping tasks, such as invoicing and expense tracking
- Process purchase orders and maintain financial records
- Support budgeting and cost control activities
- Data Management
- Maintain and update Rent Manager records
- Ensure data accuracy and confidentiality
- Generate reports and analyze administrative data where needed
- Education
- High school diploma or equivalent
- Associate or bachelor’s degree preferred
- Experience
- 2+ years of administrative or office support experience preferred
- Skills
- Strong organizational and multitasking abilities
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Attention to detail and problem‑solving skills
- Ability to prioritize tasks and work independently
