Medical Office Coordinator - Digestive Disease -- Full Time Days Job Summary
The Medical Office Coordinator provides indirect patient care in the office setting. This role will coordinate phone calls, appointments, prescription authorizations, providers’ schedules, etc. and be an integral part of the patient’s care team. The Medical Office Coordinator maintains a vast knowledge of medical terminology, understands difference between clinical and non-clinical matters, and forwards all clinical matters to the appropriate clinical staff/provider.
Core Job Responsibilities- Ensures charts, documents and clinical testing are prepared, coordinated and completed prior to patient’s next appointment.
- Works as a clerical member of the patient’s care team.
- Utilizes phone notes for all communication/documentation between self and patient.
- Answers phone calls professionally, referring calls to staff when appropriate.
- Reviews schedule on daily basis identifying any problem areas and communicating to Practice Manager.
- Handle prior authorizations for all medications.
- Performs order entry, i.e.: enter orders, medication referrals, clarifies orders with providers.
- Retrieves records from all sources for follow up appointments.
- Faxes tests, records to providers/patients, signed orders, etc.
- Completes forms completion, obtains provider signatures, makes copies and sends to recipient.
- Enters prescription refill requests, phones in/faxes/mails prescriptions as directed by provider.
- Works referrals to ensure timeliness of appointment scheduled for testing, new consults, etc.
- Manages provider schedules, canceling and rescheduling as needed.
- Cross trains in other clerical positions, as applicable.
- Sends letters to patients regarding normal test results.
- Sends letters to insurance companies appealing denied services or medication.
- Facilitates provider to provider calls.
- Performs other duties as required.
REQUIRED:
- High School Diploma or equivalent
- 1-2 years of experience in a healthcare related setting
- Demonstrated ability to prioritize work and communicate effectively
Preferred:
- Experience with insurance company rules/regulations and medical terminology strongly recommended
