Position Overview
The Department of Biochemistry & Molecular Biology seeks a detail-oriented Administrative Assistant (Intermediate Support) to support front‑desk operations.
Responsibilities- Serve as the first point of contact, manage reception area, screen calls, and greet visitors.
- Monitor direct billing, verify budgets, and maintain documentation for grant‑related charges.
- Track financial reports in Penn State Financial Systems (SAP Concur, Simba); collect receipts and submit in a timely manner.
- Reconcile goods, services, and travel expenses with service tickets or direct reports; ensure purchases are budget‑approved.
- Communicate with Pcard holders, verify funds, and confirm purchase eligibility.
- Retrieve and distribute main office mail; support USPS, UPS, and Fed Ex services.
- Maintain key inventories, coordinate key maintenance, and perform annual inventory audits.
- Order and maintain office supplies, arrange equipment maintenance, and process work orders for copier repairs.
- Maintain department listservs and directories.
- Manage conference room and equipment reservations.
- Assist faculty with copying, collating exams, and miscellaneous correspondence.
- Resolve problems and maintain various files and records.
- Perform other duties as assigned.
- Proficiency in Office 365 (Teams, Word, Excel, Outlook).
- Strong attention to detail and well‑developed interpersonal, oral, and written communication skills.
- Demonstrated ability to work effectively with a diverse audience and as a team player.
- Quick learner of job‑related software.
- Experience with College Net/25

Minimum Education & ExperienceGeneral Equivalency Diploma (GED) or High School diploma with 2+ years of relevant experience, or an equivalent combination of education and experience.

Salary & BenefitsSalary range: $40,608.00 – $58,836.00.
