Position: Administrative Assistant - Cocoziello Institute for Real Estate Innovation

Administrative Assistant – Intermediate Support

The Cocoziello Institute for Real Estate Innovation, within the Office of the Senior Vice President for Research, is seeking a detail‑oriented and service‑minded Administrative Assistant to provide critical operational and administrative support for the Institute’s leadership, faculty, and students, as well as external industry partners.

Responsibilities
  • Serve as the first point of contact for the Institute; greet visitors, respond to inquiries, and provide information or appropriate referrals.
  • Provide administrative support including scheduling meetings, maintaining calendars, and preparing meeting materials for the Institute’s leadership.
  • Assist with planning and coordination of Institute events such as the Seminar Series, workshops, advisory board meetings, and student programs.
  • Arrange room reservations, technology support requests, catering, agendas, and event logistics; take meeting minutes as needed.
  • Draft, edit, and distribute correspondence and communications for internal and external audiences.
  • Initiate Service Now tickets in the Penn State Financial system to process financial transactions, including university purchasing card transactions, invoices, and reimbursements; coordinate complex travel arrangements and perform subsequent reconciliations while monitoring expenses to maintain accurate records.
  • Support student hiring and onboarding tasks and assist with Workday transactions.
  • Maintain office supplies, equipment, and inventory; coordinate with vendors as needed.
  • Support special projects, presentations, and administrative processes to advance Institute initiatives.
  • Handle confidential and sensitive information with discretion.
Work Arrangement

The Cocoziello Institute is supportive of flexible work arrangements when aligned with the ability to meet the needs of the unit and the essential duties of the position.

Minimum Education , Work Experience & Required Certifications

General Equivalency Diploma (GED) or High School (HS); 2+ years of relevant experience; or an equivalent combination of education and experience accepted. Required certifications:
None.

Background Checks / Clearances

Employment with the University will require successful completion of background check(s) in accordance with University policies. Penn State does not sponsor or take over sponsorship of a staff employment Visa. Applicants must be authorized to work in the U.S.

Salary & Benefits

The salary range for this position, including all possible grades, is $38,300.00 – $55,500.00.
