Required Qualifications
- Bachelor’s degree (foreign equivalent or higher) in a business related field.
- In lieu of a degree, a combination of higher education and experience totaling four full‑time years (e.g., four years of full‑time account management and financial experience or a mix of education and experience) may be considered.
- Two years of full‑time account management and reconciliation experience.
- Computer proficiency with Microsoft Office Suite.
- Accounting experience with federal and locally funded research activity.
- Experience working with grant data‑management tools such as Huron or Oracle.
- In‑depth knowledge of cost‑accounting principles.
The Sponsored Award Analyst manages the full life‑cycle fiscal management of institutionally sponsored awards and agreements, serving as the primary contact for Principal Investigators, administrative units, and service units that rely on the Research Foundation Business tools. The role ensures compliance with SUNY, RF for SUNY, and agency regulations.
- Ensures proper management of expenditures and the recovery of payments during the active period through award termination and close‑out, providing analysis of final cost to guarantee recovery of payments.
- Reviews and approves payroll, fellowships, fellow health insurance, and faculty salary offset transactions in accordance with sponsoring‑agency specifics and budget restrictions.
- Reviews and approves all purchases and recharges that are necessary for the conduct of account objectives, ensuring fiscal compliance against agency funding.
- Meets with the Office of Sponsored Projects and Principal Investigators as new SEED award programs are introduced.
- Supports annual agreements that manage campus staffing services agreements with CPMP, SBF, SB Child Care Center, and Dental School.
- Facilitates payment resolutions with Staffing Service units throughout the fiscal year.
- Examines Independent Contractor transactions for adherence to RF policy, SUNY and IRS Twenty‑Factors test, and enters prescreening data into the Visual Compliance database.
- Prepares all invoices and financial reports required by agency funding source conditions and initiates collection activity as appropriate.
- Monitors monthly expenditure reports to maintain the fiscal condition of non‑sponsored award accounts and initiates corrective action when necessary.
- Coordinates deficit resolutions with campus CPMP units that utilize RF for expenditure services.
- Consults with Principal Investigators as award close‑out approaches to ensure timely extensions and facilitates the close of open purchase orders.
- Makes budget and cash adjustments to campus fixed‑price balance accounts as contracts are closed out.
- Creates the School of Medicine offset payment to generate income from industry‑supported clinical trials and confirms payment to them and associated expenditures.
- Supports the incoming payment process from industry sponsors for non‑sponsored accounts.
- Monitors Service and Facility Accounts for rate compliance, account extensions, revenue posting, and deficit reduction in collaboration with VP for Finance, Account Directors, and RFCO.
- Liaises with new Principal Investigators and their staff upon establishment of a new institutionally funded award, training them on the RF Business system and post‑award procedures.
- Participates in outreach and professional development activities, including committee membership, conference presentation, and development of standard operating procedures.
- Performs other duties or projects as assigned.
Employment is subject to the Research Foundation policies and procedures, sponsor guidelines, and the availability of funding. This is a full‑time appointment and the position is FLSA exempt. The role does not sponsor work visas. Candidates must be U.S. citizens, lawful permanent residents, or other "protected individuals" as defined by 8 U.S.C. Sec. 1324b(a)(3).
