Position Summary
The Facilities Administrative Assistant provides essential administrative and clerical support to the Facilities department. Serving as the primary point of contact, this position manages work orders, processes purchase orders and invoices, coordinates scheduling, maintains departmental records, and supports daily facilities operations. This role contributes to the effective maintenance of campus buildings, safety compliance, and coordination of facilities projects and services.
Duties and Responsibilities
* Testify to personal experience of salvation in Jesus Christ, affirm belief in the University's Statement of Faith, abide by and practice our Life Together Covenant, and both personally agree with and support the Foundational Documents of Taylor University.
* Serve as the primary point of contact for the Facilities department by screening phone calls, greeting visitors, taking messages, and routing inquiries appropriately.
* Process, track, distribute, and maintain records of maintenance work orders to ensure timely completion and follow-up.
* Prepare and process purchase orders, invoices, requisitions, and check requests in accordance with institutional policies.
* Monitor and maintain departmental supply inventories and vendor information.
* Coordinate scheduling for meetings, appointments, training sessions, and safety inspections.
* Maintain organized filing systems, databases, and records related to safety compliance, fixed assets, vendors, and departmental operations.
* Prepare correspondence, including reports, memos, letters, agendas, and other departmental documents.
* Compile data and assist with reporting needs as assigned.
* Provide administrative support for vendor communications, including quotes, bids, and documentation related to capital and maintenance projects.
* Perform additional administrative duties as assigned in support of Facilities operations.
Education & Experience
* High school diploma or equivalent required.
* Associate degree or additional administrative training preferred.
* Previous administrative or clerical experience required; experience in facilities, operations, or a related environment preferred.
Knowledge, Skills, & Abilities
* Proficiency in standard office software, including word processing, spreadsheets, and database systems.
* Strong organizational and time-management skills with the ability to manage multiple priorities.
* Excellent written and verbal communication skills.
* Demonstrated attention to detail and ability to maintain accurate records.
* Strong customer service orientation.
* Ability to work independently and collaboratively in a team-based environment.
