Position Summary
The Program Assistant, Alumni & Parent Relations, supports the department by serving as the primary point of contact and managing logistical needs for alumni and parent programming and events. This role handles various administrative tasks, including responding to inquiries, welcoming visitors, maintaining schedules, and performing data entry. Duties and Responsibilities
This position is primarily responsible to:
* Testify to personal experience of salvation in Jesus Christ, affirm belief in the University's Statement of Faith, abide by and practice our Life Together Covenant, and both personally agree with and support the Foundational Documents of Taylor University.
Administrative Support
* Serve as the first point of contact for stakeholders by answering calls, responding to inquiries, and directing visitors.
* Manage daily office operations, including ordering supplies and maintaining department email accounts.
* Assist with database and CRM tasks to support the Alumni & Parent Relations Office and Advancement engagement goals.
* PARDOT - Build, design, and distribute mass emails to alumni, parents, donors, and other strategic partners.
Event Coordination
* Provide logistical support for events, including overseeing the registration process, making reservations, and submitting orders or requests.
* Assist with preparations for major university and department events, including occasional evening and weekend support.
General Office Management
* Maintain accurate department records, calendars, budgets, and schedules.
* Support various tasks and projects as assigned to ensure smooth department operations.
Education and Experience
* High School Diplomas or GED, required.
* Bachelor's degree, preferred.
* 2-3 years of related experience, preferred.
Skills and Competencies
* Strong verbal and written communication skills.
* Excellent customer service skills with a professional and welcoming demeanor.
* High attention to detail and ability to maintain accurate and confidential records.
* Ability to learn new systems (CVENT, CRM's, PARDOT).
* Proficiency in Microsoft Office and basic office equipment.
* Effective organizational skills for managing calendars, scheduling, and event coordination.
* Ability to follow instructions, multitask, and work independently or collaboratively in a team.
* Adaptable and flexible to shifting priorities.
* Physical Demands
* Occasional light lifting for event preparation (up to 25 lbs).
* Work Environment
* Primarily office-based with prolonged periods of sitting and computer use.
* Environmental Conditions
* May require occasional evening or weekend availability for events.
