As an Administrative Assistant
, you would be asked to assist office teammates and all customers by handling office tasks, providing polite and professional assistance via phone and e‑mail, and generally being a helpful and positive presence in the workplace.

Key Responsibilities
  • Perform fundamental daily administrative tasks to assist the office team
  • Answer phones, provide exceptional customer service, and maintain a detailed call log
  • Coordinate crew and job scheduling
  • Prepare job paperwork for Crew/Estimators and ensure timely conversion of estimates
  • Oversee job file documentation, communications, and subcontractor activities
  • Maintain an organized file system and company calendar/schedule
  • Perform detailed and accurate data entry
  • Assist other departments, as needed
Position Requirements
  • High school diploma/GED (preferred)
  • Must be knowledgeable in Microsoft Office
  • Attention to detail and problem‑solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi‑task
  • Xactimate experience (preferred)
Skills/Physical Demands/Competencies

This is a role in a fast‑paced office environment. Some filing is required which would require the ability to lift files, open filing cabinets, and bending or standing as necessary. Ability to successfully complete a background check subject to applicable law.

Normal Working Hours

The position is in‑person, full‑time working 8:00 a.m.–5:00 p.m., Monday through Friday. This position may require longer hours, and some flexibility in hours may be needed dependent upon business needs.
