Job Summary

Provides comprehensive administrative and operational support to the Office of Online Learning within the Office of the Vice Provost for Undergraduate Education. As the primary point of contact for internal and external stakeholders, the role oversees the day-to-day administrative functions of the office and ensures the efficient coordination of schedules, communications, events, meetings, and office operations.

Duties & Responsibilities Administrative and Operational Support
  • Manage daily office operations for the Office of Online Learning, including calendar management, correspondence, meeting coordination, and logistical support.
  • Provide administrative support to the Director of the Office of Online Learning, including calendar management, correspondence, travel arrangements, and meeting coordination.
  • Serve as the first point of contact for inquiries related to the Office of Online Learning.
  • Assist with administrative aspects of meetings, retreats, workshops, and events sponsored by the Office of Online Learning, working with Provost Events and campus partners as appropriate.
  • Manage and coordinate travel, purchasing, and expense reconciliation for the Office of Online Learning leadership and staff as needed, including completion of itineraries, procurement documentation, and Emburse reconciliations.
  • Support Office of Online Learning planning efforts by coordinating schedules, maintaining records, preparing materials, and tracking action items associated with strategic initiatives.
Project and Program Coordination
  • Communicate with faculty, staff, and campus partners regarding Office of Online Learning, Dual Credit and related programs as directed by office leadership.
  • Support the Project Manager for Office of Online Learning by coordinating meetings, maintaining project documentation, tracking timelines, and assisting with communication and reporting activities related to the Office of Online Learning.
  • Assist with data collection, report preparation, spreadsheet maintenance, and recordkeeping related to Office of Online Learning programs and initiatives.
  • Coordinate with office leadership to maintain websites, guides, training materials, and other communication resources related to Office of Online Learning efforts.
Perform other duties in support of the Office of Undergraduate Education and the Office of the Provost as assigned.

Minimum Qualifications
  • High school diploma or equivalent.
  • Two (2) years (24 months) of work experience comparable to the third level of this series.
