Position: Office Manager- Big Ten Academic Alliance

The Big Ten Academic Alliance, headquartered in Champaign, IL, is seeking an Office Manager to coordinate travel and event logistics for 19 member institutions.

Location:

Champaign, Illinois (hybrid work environment).

Duties & Responsibilities Travel Support
  • Provide guidance on travel policies, procedures, and best practices.
  • Maintain travel resources, checklists, and reference materials.
  • Monitor and interpret university travel policies and regulatory requirements.
  • Collect, review, and reconcile post‑travel expense documentation; prepare and submit reimbursements through the University travel system.
  • Coordinate travel logistics and provide administrative support for speakers, guests, and external partners for stakeholder meetings, conferences, and special events.
  • Process travel reimbursements for guests and participants funded by grants or external sponsors, ensuring compliance with sponsor guidelines.
Event Support
  • Check venue availability, reserve appropriate venues, arrange audio/visual/IT equipment, catering, hotel blocks, and transportation.
  • Ensure appropriate contracts are in place and payments processed in a timely and efficient manner in coordination with the Finance Team.
Administrative Support
  • Provide administrative support for the President’s Administrative Assistant and other designated staff members; perform other duties as assigned.
Minimum Qualifications
  • High school diploma or equivalent.
  • At least two (24) months of work experience comparable to the third level of this series.
Preferred Qualifications
  • Experience in event contract review.
  • Experience in higher education or similar complex organizational settings.
Knowledge, Skills, and Abilities
  • Excellent organizational skills and attention to detail.
  • Proficiency with the University of Illinois travel system software.
  • Proficiency with Office 365 tools.
  • Knowledge of university financial systems.
  • Adaptability, collaboration, results orientation, initiative, innovation, open communication, prioritization skills, problem‑solving, professionalism, reliability, organizational loyalty, technical expertise.
Appointment Information
  • 100% full‑time.
  • Schedule:

    12‑month appointment, start ASAP after search close.
  • Salary: $46,975.50 minimum (competitive salary).
  • Work authorization sponsorship not available.
