Job Summary Department of Chemistry's primary contact for undergraduate education, course scheduling and evaluation, and the backup for the graduate program coordinator.

Duties & Responsibilities
  • Primary departmental contact regarding course scheduling for a high-volume department with record-level enrollments. Analyzes needs for additional course sections based on complex enrollment and space considerations. Manages creation of new course sections, setting course enrollments and assigning course instructors and teaching assistants for all courses. Coordinates with faculty and SCS Advising to administer restricted courses. Independently coordinates the use of departmental classrooms.

    Liaison with the Office of the Registrar and other units to represent departmental needs. Utilizes class roster program to determine space availability. Oversees establishment of new courses and maintenance of existing course details using the Course Inventory Management (CIM) system.
  • Primary departmental contact for undergraduate enrollment. Advises undergraduates regarding registration requirements, campus and departmental deadlines and general course information. Exerts authority to approve departmental course overrides. Manage registration exception and override approval process for the Chemistry Merit Program. Collaborates with SCS Advising Office to ensure registration accuracy. Develops monitoring procedures to ensure that courses are taught in sequence and with no overlap.

    Implements departmental/school oversight of course prerequisites based on undergraduate degree curriculum. Maintains and tracks large volume of independent course registration numbers.
  • Develops and implements policies for undergraduate research credit. Advises students enrolled in thesis and undergraduate research courses, based on departmental and campus requirements for course credits.
  • Manages end of semester grade reporting for all students enrolled in Chemistry courses. Advises faculty on submission of current grades and prior semester grade changes, ensuring compliance with campus deadlines. Analyzes academic standing for LAS Honors distinction. Enforces Distinction guidelines and electronic processes for Senior Thesis submissions.
  • Works directly with department leadership to investigate, analyze and interpret information regarding undergraduate education. Prepares reports and certifications for departmental leadership, including ACS Annual and Periodic Reviews and degree certifications. Oversees undergrad program support budget.
  • Manage graduate student fellowship award processing and system approval notifications and appointment completion.
  • Coordinates data required for the Instructor and Course Evaluation System (FLEX). Develops new evaluation questions to accurately reflect the department’s commitment to academic excellence. Manages expanded evaluation process allowing teaching assistants to provide instructor feedback.
  • Backup to the Graduate Program Coordinator. Offers in-person, phone or e-mail assistance to departmental visitors when needed. Other duties as assigned to further the mission of the unit.
Required Qualifications
  • Bachelor’s degree
  • A total of one (1) year (12 months) in education, training and/or work experience in academic programs or student services
Preferred Qualifications
  • Two (2) years of administrative experience in higher education
  • Ability to exercise initiative, confidentiality, discretion and sound judgment.
  • Effective time management and organizational skills. Ability to set priorities to meet critical deadlines.
  • Ability to establish and maintain professional and cooperative relationship with faculty, staff and students.
