OVERVIEW

Reporting to the Finance, Tax, and Partner Accounting Analyst, the Finance and Tax Coordinator will provide day-to-day administrative and analytical support to the CFO, as well as to the broader finance function. The position requires strong analytical and organizational skills, a continuous improvement mindset, and a high degree of professionalism.

WORK SCHEDULE

Generally standard hours – 8:30 a.m. to 5:30 p.m., Monday to Friday, with flexibility to extend earlier / later or to weekend as required.

ESSENTIAL JOB FUNCTIONS

Administrative Support for CFO/Finance Function

  • Perform routine inbox and calendar maintenance for the CFO; ensure that the CFO’s schedule is aligned with clearly identified priorities and that all emails that require action are acted upon; archive and save emails as appropriate
  • Assist the CFO in preparing for meetings with key stakeholders by ensuring that prep materials are ready well in advance; ensure that the CFO has adequate time and materials to engage in fruitful discussions
  • Drive the weekly CFO/Managing Partner meeting agenda-setting process to conclusion; circulate draft agendas, obtain feedback, issue follow-ups regarding materials, regularly meet with finance team members to ensure alignment, prepare and edit materials to ensure they are accurate, substantive, and professional
  • Prepare and submit accurate expense reports for approval on behalf of CFO
  • Coordinate travel logistics for CFO
  • Other tasks as needed

Technical Support for Partners/Stakeholders/Finance Function

  • Maintain various finance SharePoint sites and handle access requests
  • Maintain and review the finance team’s goals in Asana and submissions to the Professional Services Initiative. Ensure goals and PSI submissions tie to priorities identified by the CFO
  • Process Improvement and Project Coordination
  • Organize and maintain the finance shared drive
  • Develop SOPs for how files are to be stored in shared folders
  • Work with firm leadership’s administrative team to track deadlines involving key finance deliverables; develop schedules and timelines related to these deliverables for internal use
  • Coordinate various finance projects and deliverables from inception through completion

Tax

  • Prepare imputed income calculations as needed
  • Assist Tax Manager with various tax filings and mailings
  • Assist Tax Manager with various calculations and reconciliations
  • Leverage Asana to track key dates, maintain contracts and other documentation and ensure its utility as a critical information source.
  • Use Asana to manage day-to-day activities including communication and coordination with personnel and resources outside of the Finance function.
  • Prepare and maintain the Finance function’s standard operating procedures in the firm’s Asana software.
QUALIFICATIONS AND REQUIREMENTS
  • Bachelor's degree in any field
  • Prior work experience or internship
  • Extensive software knowledge - Microsoft Office Suite (Excel, Outlook, PowerPoint, and Word); strong skills in Excel are especially important
  • Demonstrate hands‑on experience in project management, software solutions implementation, and business workflow
  • Strong organizational, analytical, and critical thinking skills
  • Excellent verbal and written communication skills, responsiveness, and customer service, while observing and ensuring confidentiality of personnel and Firm information.
