Job Responsibilities Project Planning&Pre-Construction- Reviewandinterpretarchitecturaldrawingstosupportconstructionestimating.
- Participateinprojecthandoffmeetingswithestimatingandprojectmanagementteams.
- Prepareanddistributeprojectstartupdocuments,includingkickoffpackagesandconstructionschedules.
- Createandmaintainorganizedprojectfolders,digital platforms,anddocumenttemplates.
- Preparebiddocuments,procurementsheets,andproposalsforsubmission.
- Supporttradeawardprocesses,includingcoordinationwithsuppliersandsubcontractors.
- Ordermaterialsandcoordinatewithsupplierstoensuretimelydeliverytojobsites.
- TrackandlogRFIs,submittals,shop drawings,andchangeorders,ensuringtimelyresponsesandresolutions.
- Updatejobrecordsandprocurementsheetsondigitalplatforms.
- Communicatewithsitesupervisors,trades,designers,andexternalconsultantstoensurealignmentonalltechnicalandschedulingmatters.
- Actasthefirstpointofcontactfortradesandsuppliersregardingdrawings,specifications,ortechnicalissues.
- Supportthecreationandtrackingofsitedocumentation,includingdailyreports,photos,anddeficiencylists.
- Supportweeklysitemeetings;distributeagendasandmeetingminutes.
- Provideadministrativesupporttoexecutiveleadership,designers,office manager,andexternalbusinesspartners.
- Performextensiveresearchasrequiredforproject-specificandbusinessdevelopmenttasks.
- Manageandcoordinatebothbusinessandpersonalemails:monitor,prioritize,take action,andorganizearchives.
- Coordinateinternalandexternalmeetings,appointments,andeventsacrossbusinessandpersonalscopes.
- Support the Executivewithalladministrativematters,includingcorporateandpersonallogisticsanddocumentmanagement.
- Createandmaintainpersonalandcompany-widefiles(digitalandphysical).
- Supportongoingin-houseprojectssuchas
Tranualsetup,SOPcreation,andworkflowdocumentation. - Assistindevelopingstandardoperatingprocedures,organizationalcharts,andprocessimprovementdocumentation.
- Contributetotheimplementationandsetupofnewplatforms,apps,andbusinesssoftware.
- Actastheprimarytechnicalsupportfortradepartnersneedingsupportwithinternalsystemsordigitaltools.
- Maintainaccuraterecord-keepingforbothonlinesystemsandphysicaldocuments.
- Distributeandorganizeincoming/outgoingmail.
- Combineandmanagetradeandsupplierrecordsintomasterlistsforeasyaccessandreference.
- Ensureproperhandling,filing,andtrackingofconstruction-relatedandcorporatedocumentation.
- Coordinatematerialordering,deliverylogistics(localandout-of-town),andtrackinventoryneeds.
- Arrangeandmanageallshipping,receiving,anddeliveryschedulesforprojectsitesandofficeneeds.
- Assistinpreparinganddistributingdeficiencylistsandfollow-uplogs.
- Collect,organize,anddeliverclose-outdocumentssuchasmanuals,warranties,andas-builts.
- Support post-constructionfollow-upincludingwarrantytrackingandclientfeedback.
- Strongtimemanagementandmultitaskingskills;abilitytomeetstrictdeadlines.
- Highattentiontodetailwiththeabilitytomanagecomplexprojectdocumentation.
- Excellentcommunicationskillstoliaiseeffectivelywithtrades,suppliers,executives,and clients.
- Abilitytoworkindependently,take initiative,andmanagecompetingpriorities.
- Bachelor's Degree in Architecture/Engineering
- Minimum 5 yearsofconstructionadministrationexperience
- Critical thinking,independentproblemsolving
- Thinkoutsidethebox
- Highworkethic
- Experiencesupportingaprojectmanagerorconstructionmanagerpreferred
- Excellentkeyboarding,spelling,grammar,andproofreadingskills.
- Exceptionalattentiontodetailwithrespecttoproofreading,note-taking,anddatamonitoringandrecording,withalimitedmarginoferror.
- Expert knowledge,experienceandproficiencyinavarietyofcomputerapplications,including
Buildertrend,Word,Excel,PowerPoint,Adobe,Microsoft Officeandrelatedapplications Drop Box ,Click Up,Lucid Chart - Excellentwrittenandverbalcommunicationandinterpersonalskills
- Excellent problem-solving,analytical,andresearchskills.
