Part Time Elementary School Secretary and Lunch Monitor - Parowan Elementary
Parowan Elementary School is seeking a Part Time School Secretary and Lunch Monitor to work 16 hours per week. This position remains open until filled.
The Part Time Elementary School Secretary works under the general supervision of the school principal. Responsibilities include varied office clerical tasks, contact with students, parents, and others, and exercising independence and judgment in performing tasks.
Responsibilities- Answer and screen telephone calls to provide information, take messages, or transfer calls.
- Greet visitors and direct them to appropriate areas or persons.
- Maintain the school calendar of events.
- Provide assistance to the PTA and student council.
- Read and route incoming mail.
- Locate and attach appropriate files to correspondence when needed.
- Review and update office procedures, and provide training for other office staff as needed.
- Coordinate and arrange meetings, prepare agendas, reserve facilities, and record and transcribe minutes of meetings.
- Design and organize filing systems; act as custodian of records.
- Assist students with emergency, medical, hygienic, and illness issues by reviewing medical records, administering minor first aid, and contacting parents or medical personnel as needed.
- Maintain and prepare information for budget purposes.
- Monitor and arrange travel schedules and reservations; prepare travel-related documents and itineraries for meetings.
- Order and maintain supplies; arrange for equipment maintenance.
- Perform minor maintenance and repair of office machines and copiers.
- In the absence of the principal, monitor school programs and activities under administrative direction.
- Obtain student information by contacting other schools, professional agencies, and parents.
- Discuss student problems and direct to appropriate staff for resolution.
- Study new regulations and apply them to reporting and recordkeeping.
- Create and maintain database and spreadsheet files; update computer data with student information.
- Assist with attendance records and reports; communicate with parents, administrators, and teachers about attendance issues.
- Assist in preparing, consolidating, submitting, and maintaining employee time and attendance records.
- Assist with monitoring substitute teacher databases and documenting absence information.
- Assist with compiling and filing student grade reports and other school records.
- Assist with composing or transcribing from rough drafts of correspondence, bulletins, memorandums, and other materials.
- Maintain records and reports for school statistical minority information in accordance with applicable state and federal laws.
- Maintain regular, reliable, and predictable attendance and performance.
