Position SummaryThe Dental Receptionist serves as the first point of contact for dental patients and helps create a welcoming, organized, and supportive experience. This position manages patient scheduling, registration, insurance verification, payment collection, and communication with the dental team.

Essential Duties and Responsibilities- Welcome patients and visitors, provide assistance, and complete patient check-in and checkout.
- Answer telephone calls, respond to routine inquiries, take accurate messages, and direct questions to the appropriate staff.
- Schedule, confirm, and reschedule dental appointments according to provider availability, appointment requirements, and established scheduling procedures.
- Monitor cancellations, missed appointments, and openings to help patients access care and keep the schedule running efficiently.
- Obtain and update patient demographics, contact information, insurance details, consent forms, and other required registration documents.
- Verify dental insurance eligibility and benefits, document coverage information, and assist with obtaining authorizations as assigned.
- Explain office procedures, payment expectations, and available financial assistance resources, including the Sliding Fee Scale, according to clinic guidelines.
- Collect copayments, patient payments, and outstanding balances as directed. Issue receipts and accurately document transactions.
- Coordinate with dental providers, assistants, and billing staff regarding patient needs, scheduling changes, and account questions.
- Promptly route reports of dental pain, swelling, or other urgent concerns to clinical staff according to clinic procedures.
- Maintain accurate patient records and handle incoming documents, referrals, and records requests according to established procedures.
- Protect patient confidentiality and follow organizational privacy, security, and HIPAA policies.
- Maintain a clean and organized reception area and workspace.
- Attend required meetings and training, maintain dependable attendance, and perform other related duties as assigned.
- High school diploma or equivalent.
- Strong customer service, communication, and organizational skills.
- Ability to manage multiple responsibilities while maintaining accuracy and a professional manner.
- Basic computer proficiency and ability to learn electronic patient records and scheduling software.
- Ability to handle confidential information with discretion.
- Ability to work cooperatively with patients, coworkers, and providers.
- Previous experience in a dental or medical office.
- Familiarity with dental terminology, insurance verification, appointment scheduling, and payment collection.
- Experience working with patients from diverse backgrounds, including individuals facing financial or access barriers.
Physical Requirements
Work is performed in a dental clinic reception area and involves frequent interaction with patients and staff, computer use, telephone communication, and periods of sitting and standing. Essential duties may be performed with or without reasonable accommodation.
