Location: Coalville

Overview

The coordinator will play a key role in planning and executing events, managing guest and member communications, supporting digital content, and ensuring seamless event experiences from planning through execution.

Gracie’s Farm
  • Assist with logistical coordination of farm dinners and special events
  • Assist with guest communication, including invitations, confirmations, and follow‑ups
  • Create and maintain seating charts and guest lists
  • Coordinate dietary restrictions and special guest needs
  • Work with banquet teams and vendors on event execution
  • Coordinate rentals as needed (tables, chairs, equipment, etc.)
  • Support day‑of event logistics and on‑site coordination
  • Assist in planning and execution of beer nights, movie nights, and pop‑up events
The Sporting Club
  • Coordinate and manage member events from planning to execution
  • Work closely with banquets and events teams to reserve venues and coordinate food and beverage
  • Create event invitations and email communications for members
  • Manage event RSVPs and maintain accurate guest lists
  • Respond to member inquiries related to events and attendance
  • Ensure clear, timely communication with members before and after events
Qualifications
  • 1–3 years of experience in event planning, hospitality, communications, or a related field preferred
  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication skills
  • Ability to manage multiple projects and deadlines simultaneously
  • Comfortable working with email platforms, spreadsheets, and basic website updates
  • Social media familiarity (Instagram preferred)
  • Professional, friendly demeanor when interacting with guests and members
  • Ability to work evenings and occasional weekends for events
