The Program and Process Specialist of Strategic Marketing plays a central role in enabling the execution, coordination, and operational effectiveness of Strategic Marketing Solutions (SMS). While supporting high‑impact deal pursuits and marketing storytelling, this role is equally responsible for ensuring projects, priorities, programs, and cross‑functional initiatives are organized, tracked, and delivered with clarity and consistency. This individual operates as a program coordinator and connective layer—aligning Sales Marketing, Land to Launch marketing, Content Marketing, and Brand Marketing & Communications (BM&C) to ensure the QTS story is executed with precision, speed, and consistency across the business.
Responsibilities- Coordinate, manage, and help ensure execution of projects across Sales Marketing, Land to Launch marketing, and Content marketing teams.
- Serve as a central point of coordination for SMS initiatives—tracking timelines, deliverables, owners, and dependencies.
- Support end‑to‑end project lifecycle management (intake→prioritization→execution→delivery→reporting).
- Help establish and maintain standardized workflows, processes, and systems across SMS (e.g., , trackers, intake forms).
- Proactively identify risks, gaps, or bottlenecks and elevate appropriately.
- Maintain and update deal pursuit tracking systems, ensuring accuracy, completeness, and visibility across the team.
- Support multiple active pursuits simultaneously through coordination of inputs, timelines, and deliverables.
- Assist with preparation and coordination of pitch materials, presentations, and executive‑level content.
- Track and analyze team activity (e.g., deal pursuits, content production, project throughput) to provide visibility into performance and capacity.
- Support SMS leadership with reporting, dashboards, and executive‑level summaries.
- Maintain data consistency across tools, trackers, and knowledge bases.
- Identify opportunities to improve efficiency, prioritization, and resource allocation through data.
- Serve as a key liaison between SMS and the broader Brand, Marketing & Communications organization.
- Coordinate integrated marketing efforts, ensuring SMS priorities align with broader campaigns, messaging, and initiatives.
- Facilitate communication and alignment across Integrated Marketing, Communications, Creative, and Events teams.
- Support execution of cross‑functional initiatives spanning marketing, development, sales, and community engagement.
- Enable leadership support: coordinate initiatives, manage meetings, agendas, action items, and follow‑ups.
- Prepare materials for leadership discussions, off‑sites, and executive presentations.
- Act as an operational “force multiplier” for leadership—turning ideas into actionable plans.
- Bachelor’s degree in Marketing, Business, Communications, or a related field, or equivalent professional experience.
- 3+ years of experience in marketing, project coordination, program management, or a related role within a cross‑functional business environment.
- Demonstrated experience managing multiple projects simultaneously, including tracking timelines, deliverables, and stakeholders.
- Experience supporting cross‑functional teams (e.g., marketing, sales, development, operations) and coordinating inputs across groups.
- Strong organizational and project management skills, with experience in Excel, PowerPoint, and project management systems such as or Smartsheet.
