Position Overview

The Flight & Dispatch Coordinator plays a key role in ensuring the safe, efficient, and compliant operation of company aircraft operating under FAR Part 135. This position supports operational control, flight coordination, international trip planning, and real-time flight tracking while maintaining strict adherence to FAA regulations, company policies, and established operational standards.

This role works closely with pilots, maintenance teams, operations leadership, and third-party service providers to coordinate logistics, monitor aircraft activity, and maintain overall operational readiness.

Key Responsibilities Flight Operations Coordination
  • Coordinate flight operations for company and managed aircraft in accordance with FAR Part 135 regulations and the General Operations Manual (GOM).
  • Support operational control processes, including trip coordination, flight tracking, and communication with flight crews and leadership.
  • Plan and execute both domestic and international trips, including permits, customs, overflight authorizations, and regulatory documentation.
  • Monitor active flights to maintain safety awareness and operational oversight.
  • Manage aircraft scheduling and communicate updates or changes to all relevant parties.
Trip Planning & Logistics
  • Arrange and coordinate services such as FBO handling, fuel, catering, hangar space, aircraft cleaning, and ground transportation.
  • Provide after-hours and weekend operational support as required.
  • Ensure all trip logistics meet regulatory requirements and company procedures.
  • Maintain accurate records of flight activity, aircraft movements, and trip details.
Financial Tracking & Client Support
  • Track and manage trip-related expenses including fuel, crew costs, handling, permits, and passenger services.
  • Prepare documentation to support client invoicing and internal accounting processes.
  • Ensure all financial records related to managed aircraft operations are accurate and properly submitted.
Additional Duties
  • Support operational reporting, documentation, and internal coordination efforts.
  • Perform additional duties as assigned by the Director of Managed Aircraft Services or company leadership.
Regulatory Compliance
  • Ensure full compliance with FAA regulations, including FAR Part 135 requirements.
  • Adhere to company operational control procedures and flight operations policies.
  • Comply with U.S. Customs and Border Protection and all applicable domestic and international regulations.
  • Maintain accurate and compliant operational documentation and records.
Workplace Collaboration
  • Collaborate effectively with flight crews, maintenance personnel, and operations staff to support safe and efficient operations.
  • Communicate clearly across departments to ensure alignment and situational awareness.
  • Promote a professional, team-oriented, and positive work environment.
Qualifications
  • High school diploma or GED required; aviation-related education or college degree preferred
  • Prior experience in aviation operations, dispatch, or flight coordination preferred

    Working knowledge of FAR Part 135 operations is a strong plus
  • Proficiency in Microsoft Office applications
  • Minimum of 2 years in customer service or operational coordination
  • Strong organizational, analytical, and problem-solving skills
  • Ability to manage multiple priorities in a fast-paced, time-sensitive environment
Physical Requirements
  • Ability to lift up to 20 lbs
  • Ability to sit, stand, and move for extended periods
  • Ability to enter and exit aircraft as needed
Work Schedule Operating Hours
  • Monday – Thursday: 8:00 AM – 5:00 PM
  • Weekend:
    On-call support as needed (rotating schedule)
