SPECIFIC RESPONSIBILITIES
The Development and Gift Entry Coordinator reports to the Director of Development Operations and has a dotted line to the Director of Donor Engagement.
- Assist with event guest list management, event tracking, and related database tasks.
- Provide general administrative support for the Development Department, including scheduling, meeting notes, and agenda preparation.
- Support donor communications, RSVP tracking, and event logistics for major events such as GoPro Mountain Games, Bravo! Vail, Vail Dance Festival, Birds of Prey, First Light First Tracks, Black Diamond Ball, and others, including Formstack creation, nametag preparation, and billing support.
- Support and update development calendars, event lists, and guest lists for donor events throughout the year.
- Support Development events.
- Handle billing responsibilities.
- Accurately process incoming gifts (checks, wires, stock, online, recurring, and event-related gifts) using Raiser’s Edge and other donor management systems, following established batch entry and reconciliation procedures.
- Support daily gift entry, ensuring all gifts are entered promptly and with attention to detail; maintain supporting documentation for each transaction.
- Prepare and send tax acknowledgement letters using Letterbox, ensuring accuracy and timely delivery; update templates as required.
- Maintain donor records, including updates to addresses, contact information, and constituent codes; assist with database maintenance and data integrity projects.
- Support monthly and renewal mailings for memberships and donor stewardship.
- Other ad hoc duties as assigned.
- Bachelor’s degree in a relevant field, preferred. Or a combination of relevant experience in nonprofit operations, or related areas.
- Proficiency in scheduling meetings, taking notes, supporting agenda creation, and providing general administrative support.
- Capacity to work independently as part of a strong team. Strong leadership, initiative, and interpersonal skills.
- Excellent management and organizational skills, ability to work on multiple projects and deadlines simultaneously with flexibility, and the capacity to generate innovative solutions and strategies.
- Excellent oral and written communication skills.
- Eagerness to provide support to the greater Vail Valley Foundation staff as available and necessary.
- Experience with or capacity to learn Microsoft Office Suite, Blackbaud, Formstack, and other systems, preferred.

BENEFITS COMPENSATIONThis is a full-time year-round hourly position eligible for all VVF employment benefits.
The hourly pay range is $24.00 – $26.50 based on experience.
