Responsibilities- Audit and pay invoices related to institution Purchase Orders and Payment Requests in a timely manner, ensuring account code appropriateness, supporting documentation, and compliance with AU/BOR/State/Federal policies.
- Maintain daily workload to process payment request documents requiring analysis, approval, and expeditious distribution; assess completeness, accuracy, appropriateness, and compliance with policies.
- Communicate discrepancies with departments, vendors, and third-party organizations.
- Resolve outstanding payment issues, including price discrepancies, vendor disputes, and payment release issues, by reconciling data across Purchasing, Receiving, Financial Accounting, Facilities Planning, and Budget and Finance.
- Ensure customer satisfaction by verifying receipts, item accuracy, and installation completion as applicable; confirm items listed on invoices and purchase orders were received.
- Audit and pay check requests in compliance with IRS accountability.
- Process and analyze daily payment request documents, ensuring compliance with AU/BOR/State/Federal policies; communicate discrepancies as needed.
- Record retention: organize, update, and retain invoice information files and voucher audit records; pursue process improvements and exceptional customer service.
- Audit and pay employee travel reimbursements and direct bill invoices, ensuring AU/State/BOR/Federal policy compliance.
- Other duties as assigned, including backing up other AP staff and cross-training.
Educational Requirements
High School diploma or GED with 4 years accounting/financial support experience, or an Associate's degree with 2 years related experience, or a Bachelor's degree from an accredited college or university.
Preferred Qualifications
Associate's Degree in Accounting or related field; experience with People Soft Accounts Payable or SAP ERP; familiarity with contract administration; proficiency in Microsoft Office.
Knowledge, Skills, & Abilities
- Ability to interact effectively with suppliers and staff; analyze complex issues and take corrective actions.
- Adherence to internal controls and procedures; ability to work in a team environment.
- Strong interpersonal and communication skills.
- Intermediate skills in Microsoft Office and People Soft Financials; high accuracy and attention to detail; well-organized with the ability to handle multiple priorities.
Shift: Days/M-F
Pay Band: 7
Salary Minimum: $20.29/hour
Salary to be commensurate with qualifications within the established range.
