Job SummaryThe Office Coordinator is a customer service–minded, enthusiastic individual who serves as the frontline contact for the Office of Admissions. The position supports the office that recruits and matriculates one of the largest medical school classes in the nation and requires excellent communication and time management due to significant contact with prospective students, current medical students, and faculty members. Responsibilities include administrative support, communications, data management, event support, and committee preparation as outlined below.
Responsibilities- Front Desk Operations: manage front desk, answer and triage calls, provide information on application processing, direct unrelated calls to the appropriate department, maintain the office email account, and help keep the office clean and organized.
- General Administrative Support and Budget Assistance: maintain leadership calendars and the admissions team calendar, manage leave requests, coordinate inter-departmental planning meetings, assist with recruitment materials and budgets, and handle invoices and vendor contracts.
- Applicant Communication and Data Management: upload transcripts and applicant information into the admissions system, assist with data reports, and support screening of pre-matriculation requirements.
- Multiple Mini-Interviews (MMI) Support: prepare interview day documents, manage applicant logs, ensure confidentiality forms are completed, and assist with interviewer training and scheduling.
- Travel Processing: submit travel authorizations and reimbursements, assist with travel arrangements for recruitment events, and prepare travel folders.
- Event / Recruitment Support: coordinate event logistics, greet guests, manage registrations, and prepare materials for visits and recruitment days.
- Admissions Committee Support: schedule and prepare committee meetings, maintain training and materials, and coordinate subcommittee activities.
- Service Letter Creation & Distribution: create and distribute service letters and ensure delivery to individuals and relevant supervisors.
Educational Requirements:
High School Diploma, GED, or equivalent with a minimum of nine years of progressively responsible office support experience, OR an Associate’s Degree with a minimum of six years of progressively responsible office support experience.
Bachelor’s Degree from an accredited college or university.
Knowledge, Skills, & Abilities- Excellent customer service, interpersonal, multi-tasking, organizational, and verbal/written communication skills.
- Proficiency with Microsoft Office (Word, Excel, Access, PowerPoint) and other software/databases; testing may be used to determine proficiency.
- Ability to coordinate multiple projects, meet deadlines, maintain confidentiality, keep accurate records, and make independent decisions.
Shift: Days, Monday–Friday
Pay Band: 5
Salary:
Minimum $17.88/hour - $20.44/hour; salary commensurate with qualifications and within established range.
Recruitment Period: 9/16/25 – Until Filled
