Office Administrator/ Coordinator, Administrative Management
Threadneedle is a private Family Office located in Valdosta, Georgia that owns and manages a portfolio of operating businesses, real estate holdings, and investment interests. We are looking for an Operations Manager to serve as the operational backbone of the holding company, a company that owns many companies. We are looking for that specific person who keeps everything running across the entire portfolio.
This is not an office manager job for one company. It is a cross-functional role inside a private firm where you will move between entities and asset classes as the work demands. One morning you may be processing insurance claims. That afternoon you may be managing a tenant issue on a rental property. The next day you may be preparing correspondence for an investor.
The common thread is you: your judgment, your organizational discipline, and your ability to keep a complex operation moving forward without dropping anything.
The portfolio currently includes a boutique employee benefits firm, a set of actively managed real estate holdings, investments in other companies, and the general legal and accounting operations of the Family Office itself. The right person understands that their job is defined by the function they serve, not by any single entity on the books.
What You Will DoYou will manage the day-to-day operations of the Family Office across its full portfolio. This means maintaining organized systems and files for every entity under management, tracking deadlines and obligations across multiple business lines, handling correspondence with clients, tenants, carriers, vendors, and other stakeholders, coordinating maintenance, collections, renewals, and compliance activities as they arise, and preparing documents, reports, and communications for the principal.
You will own the operational rhythm of the office. Every Monday, you review what is open across the portfolio. Every Thursday, you scan the horizon for what is coming in the next two to four weeks. Every Friday, you close the week with a brief status report. In between, you manage your own priorities based on urgency, deadlines, and the needs of the business.
The principal will set direction. You will keep the machine running.
The allocation of your time will shift depending on seasonal demands, deal activity, and portfolio changes. You should expect to operate without rigid boundaries between entities and be comfortable applying the same standard of precision whether you are handling an insurance filing or a lease renewal.
Who You AreYou are someone who can hold multiple threads at once without losing any of them. You are not rattled by variety, you are energized by it. You move between different kinds of work with the same care and professionalism, whether the task is administrative, financial, or client-facing.
You notice the misspelled name, the wrong date, and the missing attachment before anyone else does. You do not consider “close enough” to be acceptable. Your standards for your own work are high, and you hold yourself to them without being managed.
You communicate clearly and proactively. You do not wait to be asked for a status update. You raise concerns early, ask good questions, and seek clarity rather than guessing when something is ambiguous. You understand that in a small, private firm, silence is never neutral—it is either reassuring or alarming, and you make sure it is always the former.
You organize your own day. You build systems for tracking what matters, and you use them. You take ownership not just of tasks but of outcomes and when something isn’t working, you fix it or flag it rather than waiting for someone else to notice.
QualificationsFive or more years of experience in office management, operations, property management, insurance administration, or a similar role requiring high attention to detail, independent judgment, and the ability to manage multiple concurrent work streams. Experience in a professional services environment like law firms, CPA offices, medical practices, insurance agencies, or property management companies is strongly preferred.
