Job DescriptionThe Parts Coordinator is responsible for providing an exceptional customer experience while managing the ordering, receiving, storing, dispatching, and returning of parts for each repair order. This role ensures parts accuracy and quality, coordinates with vendors, and maintains a reliable parts inventory to support the shop’s production schedule.
Key Job Responsibilities- Ensure consistent execution of WOW (Wow Operating Way) plan.
- Communicate all customer requests and needs to appropriate team members.
- Work with vendors to order and receive all parts as indicated on the repair orders, confirming quality, correctness, and quantity.
- Ensure timely parts distribution to the shop in accordance with the production schedule.
- Enter all parts invoices into the recommended Management Information System (MIS).
- Label and track all parts by the R.O.# and store them with the vehicle and/or scheduled repairs; communicate all parts price changes (PPI) to required team members.
- Order and receive supplemental parts in the MIS, monitor performance of parts, materials and sublet vendors, and ensure daily reconciliation of the parts vendor invoice history report.
- Ensure invoices and credit memos are posted and filed/scanned in a timely manner.
- Ensure vendor invoices have the correct negotiated discount to maintain proper profit margins.
- High School Diploma or equivalent.
- 1–3+ years of experience working with automotive parts (auto body parts a bonus).
- Customer Service oriented with strong organizational ability to manage pressure and conflicting demands; initiative in problem solving.
- I‑Car Registered (working towards Gold Class certification).
- Effective verbal and written communication.
- Strong attention to detail and a high degree of accuracy.
- Ability to manage a fast‑paced environment and multitask under pressure.
- Working knowledge of vehicle repair practices.
- Proficiency with Management Information System:
Summit, Repair Centre. - Knowledge of Mitchell, Audatex.
- Experience with parts sourcing tools:
Car‑part, Progi, APU, LKQ B2B. - Solid problem‑solving abilities.
- Above‑average computer proficiency and organizational skills.
- Ability to work well with others and achieve common goals.
- Other duties as assigned.
- Frequently required to bend, crouch, reach, and handle tools.
- Lift in excess of 50 lbs. of materials.

Pay: $15 – $20 per hour. Compensation is commensurate with skill, education, and experience. This position may also be eligible for bonus opportunities tied to individual or business initiatives.
