Advanced Medical Genetics Practice Administrative Support
Provide a wide variety of administrative support to Advanced Medical Genetics Practice, including coordination of care for patients served in the practice.
Responsibilities- Manage/schedule all interactions/appointments for patients/individuals with Metabolic Disorders managed at our center based on protocol &/or medical need on an ongoing basis including but not limited to clinic visits, transportation, translation, obtaining results & arranging follow-up.
- Document any and all activities related to the patient that occurs in the clinic or by phone in the electronic medical chart.
- Function as the liaison between the patients/families and the Medical Genetics team.
- Schedule appointments & prepare all follow-up lab requisitions including special tests according to protocol and communicate with the families accordingly.
- Collect results and visit reports from outside laboratories and providers in a timely fashion and communicate with the Medical Genetics team as needed.
- Function as an advocate and the contact person for the IMDC families to assure continued optimum care especially for our Spanish-speaking families.
- Generate & maintain a system for obtaining insurance authorization for enteral formulas, medications, clinic visits, including letters of medical determination/necessity.
- Send provider letter to patient's MD with copy of lab results, if appropriate, particularly with patients who have been referred by Newborn Screening (NBS).
- Collect, organize, and update pertinent information in the electronic medical records for all IMDC patients especially for new and NBS referrals.
- Create and modify documents such as reports, memos, and letters as needed to help with patient management.
- Maintain confidentiality in all aspects of the job.
- Experience:
computer proficient with working knowledge of word processing, spreadsheets, and data management software with prior experience in a medical office. - Education:
Associates Degree, required. Bachelor's Degree preferred. In lieu of Bachelors, 3-5 years of equivalent combination of related experience

Proficiency in Spanish is a must. (speaking, writing and reading).
Highly organized, detailed orientated, reliable and possess the ability to work independently and efficiently; the ability to screen and prioritize tasks is essential.
