My name is Erik and I’m with the Panama Bay Coffee Company. We’re local and based in the East Bay. To support our coffee-houses, we have an internal system that does the purchasing and distribution weekly for each store. (From Livermore, Oakland, Vallejo & Walnut Creek)

We are seeking someone to manage the day-to-day purchasing, inventory handling, and distribution of products across four locations.

This is a hands-on role for someone who enjoys being in motion—shopping, organizing, driving (company van), and making sure everything runs smoothly behind the scenes. You will be the person ensuring each shop has exactly what it needs, when it needs it.

Key Responsibilities-Purchasing & Sourcing

• Shop and drive for supplies (around the East Bay Area), ingredients and operational goods from multiple vendors, weekly and as needed.
• Identify best pricing, quality, and availability
• Build and maintain vendor relationships
• Monitor product consistency and flag quality issues
• Update pricing from local stores on a regular basis
• Update pricing from Major suppliers every ¼ or if a large increase is announced from the vendor.

Inventory Management

• Receiving shipments, stocking the warehouse.
• Organize, and store inventory in a clean and logical system
• Maintain accurate inventory counts and restocking levels
• Rotate stock (FIFO) and monitor freshness
• Maintain inventory tracking systems or create new ones as needed

Order Fulfillment (Pick & Pack)

• Prepare orders for each shop based on their needs
• Ensure accuracy and completeness of all orders
• Organize deliveries

Delivery & Distribution

• Deliver goods to the stores
• Load and unload products
• Maintain delivery vehicle
• Communicate with store teams regarding deliveries and needs

Organization & Process Improvement

• Keep storage and warehouse areas clean, labeled, and efficient
• Identify ways to improve systems, reduce waste, and save costs
• Help implement systems that scale as the business grows

Ideal Candidate

• Organized and detail-oriented
• Self-starter who takes ownership without constant direction
• Comfortable with physical work (lifting, moving, driving)
• Strong sense of responsibility and follow-through
• Problem-solver who can adapt quickly
• Enjoys both independence and supporting a team

Requirements

• Valid driver’s license with clean driving record
• You would be driving the company van
• Ability to lift 40 lbs
• Comfortable driving throughout the East Bay
• Basic math and inventory tracking skills
• Previous experience in logistics, restaurant supply, or warehouse work is a plus
• Will be responsible for maintaining the company van and keeping it in as needed. (taking it to oil changes, service work, refueling, etc.)

Additional Note

Currently the position can take between 3 to 4 days per week. It depends on what’s needed.

Each day may be from 6 to 8 hours. The work week generally starts on Monday and is completed by Weds or Thursday. Right now you could expect to be off on Fridays and weekends.
