Join a top employer and advance your career. Aplin has partnered with a Mississauga, ON based company to hire a Management Assistant! This is a 1 year contract with the potential for an extension.

Benefits & Perks

  • Compensation: $28 to $33/hour
  • Please note, this role will be hybrid (3 times a week on-site at the Client’s Mississauga office).
  • Monday to Friday (40-hour work week).

Responsibilities

  • Administrative support to Senior Level Management.
  • Schedule and handling multiple calendars.
  • Lead, develop and coordinate correspondence, presentations, organizational charts, reports, etc. using MS Office applications.
  • Coordination and administration of departmental meetings, special events, off sites, etc. by ensuring appropriate set‑up/logistics of facilities, book meeting rooms, sending invitations and notices to attendees, arrange catering, prepare agendas, presentations, minutes, and ensure action items are followed up on.
  • General office duties including: purchasing office supplies, ordering business cards, distribution of interoffice mail, ordering IT equipment as required.
  • Responsible for processing, tracking, registration and coordinate training, book travel and conference requests.
  • Maintain departmental records using Sharepoint to ensure files and records are easy to access and organized.
  • Support the preparation and follow‑up of the departmental budget and forecasts.

Qualifications

  • Must have over 3 years of experience providing administrative support to Senior Level Management and managing multiple calendars.
  • Experience working with Oracle Cloud is an Asset.
  • Must be Proficient in MS Office including Excel, PowerPoint and Word.
  • Must have experience assisting multiple directors at the same time.
