About the Role
The
Senior Administrative Assistant is a critical right hand role to the CEO. This position exists to bring structure, momentum, and operational support to a busy leadership function where time is limited and priorities shift quickly.
This is not a traditional administrative role. It is ideal for someone who enjoys variety, problem solving, and being deeply embedded in the day to day operations of a mission driven organization.

This role offers strong potential to evolve into a Chief of Staff position over time, based on performance, capability, and organizational needs.
Salary: CA $60,000–$85,000/yr
Key Responsibilities
Executive and Administrative Support
  • Provide day to day administrative support to the CEO and leadership team
  • Manage calendars, meetings, and scheduling
  • Draft correspondence, reports, presentations, and internal documentation
  • Prepare agendas, meeting notes, and board materials
  • Handle sensitive and confidential information with discretion and integrity
  • Office and Operations Support
  • Build and maintain organized systems, templates, and shared documentation
  • Support vendor coordination and office logistics
  • Assist with flight related administrative coordination
  • Use tools such as Google Workspace, Asana, Keela, and AI enabled productivity tools to streamline workflows
  • Project and Stakeholder Coordination
  • Support cross functional initiatives and special projects
  • Track tasks, deadlines, and deliverables
  • Serve as a professional point of contact for partners, donors, and collaborators
  • Finance and HR Support
  • Assist with basic financial tracking and data entry
  • Support onboarding logistics and internal documentation
  • Position Requirements
    10+ Years work experience
