Job Overview:
Reporting to the Office Manager, the Reception Lead provides exceptional customer support to our clients in person, on the phone and by email/ticket. Further, the Reception Lead provides operations and administrative support to ensure all aspects of the day-to-day activities at the office operate efficiently and effectively. This position is suited to someone who is well organized, resourceful, and detail oriented with excellent communication, who thrives in a fast-paced environment and works well under pressure.

Responsibilities:
Reception Desk
  • Mail duties include sorting and distributing incoming mail as well as return mail tracking. Scanning physical mail received and sending a digital copy to the intended recipient.
  • E-mail – Responding, sorting, and forwarding emails to the correct departments.
  • Monitors the faxes which come in via email
  • Provide information to owners and tenants as required
  • Scanning received invoices daily and sending to the Accounts Receivable team
  • Clerical duties such as filing, labeling, data entry and copying
  • Receive vendors, deliveries. Accept couriers.
  • Assisting various company departments as required
Office Management
  • Assist in maintaining office supplies by checking inventory levels, placing orders, receiving, and unpacking orders and maintaining a tidy office supplies area.
  • Responds to associate requests for office supplies.
  • Ensures all common office spaces are clean, well-maintained, and fully equipped including the kitchens, boardrooms, and photocopy rooms.
  • Process and respond to general office-related enquiries from clients, vendors and associates.
  • Cadillac Fairview (landlord) point person
  • Manages eligible parking registration, Q&A etc.
Other Duties as Assigned
  • Managing corporate credit card expenses
  • Placing all supplies orders and miscellaneous corporate orders (e.g. swag)
  • Event Room Reservations / In Boardrooms 200 Granville and 200 Burrard
  • Support the Administrative Services department with document creation
  • Other duties as assigned
Skills &

Qualifications:

  • Minimum 2 years’ experience in either a reception role, or an administrative role with responsibilities a reception or office manager.
  • Demonstrated cash handling ability / financial acumen for corporate expenses and supplies orders.
  • Knowledge of Microsoft office suite
  • Knowledge of outstanding customer service principles
  • Knowledge of general office procedures
  • Ability to organize and prioritize on a daily basis
  • Exceptional attention to detail and accuracy
Ability to work well under pressure

What We Offer:

Compensation:
$ 45,000 - $50,000 per annum
