Status: Full‑time, Permanent
Hours of Work: 8:30 am – 4:30 pm, Monday‑Friday
Classification: Grid 9 – Delegated Programs
Salary: $1,923.81 – $2,167.41 bi‑weekly
Reporting to the Child Safety Office Manager, the Child Safety Administrative Assistant provides confidential and professional administrative support to the program and teams. Duties include maintaining client files, preparing documentation, correspondence, reports and other information, managing switchboard duties, ordering program supplies, executing large‑volume mail outs using mail merge, and entering data into the client case management system. The role requires a courteous, professional approach and teamwork in a dynamic environment.
This frontline position serves as the first contact with clients, partner agencies, and professional colleagues.

- Certificate in an administrative program
- Five years’ experience in an office setting
- Equivalent combination of education and experience considered on a case‑by‑case basis
- Knowledge of filing systems and maintenance
- Familiarity with office practices and procedures
- Ability to prioritize and handle multiple competing priorities
- Criminal Record Check for Working with Vulnerable Children or Adults
Skills and Abilities
- Proven work experience in administration or related role in a fast‑paced, high‑stress environment
- Proficiency with Windows‑based applications, including MS Office (Teams, Outlook, Excel, Word, PowerPoint) and other standard tools
- Quick learner of new computer applications and programs
- Typing speed of 50 words per minute required
- Capability to maintain filing systems
- Effective collaboration with team members, VACFSS colleagues, and agency personnel in the community
- Respectful, culturally sensitive client interaction
- Ability to engage with emotionally heightened clients or those facing stressful situations
- Well‑developed interpersonal skills
- Good written and verbal communication skills
NOTE: This position requires Union membership.
