Opportunity
The Senior Administrative Support Specialist - Business Immigration provides administrative and operational support to the EY Law LLP business immigration practice. Supporting Canadian, US, and global immigration teams, this role ensures timely, accurate handling of immigration-related materials and processes to facilitate client service delivery.

Key Responsibilities

Provide advanced administrative support to the immigration practice, managing day-to-day workflows such as printing, assembly, quality review, scanning, and processing of immigration application packages.

Coordinate incoming mail and courier deliveries, including scanning, logging, routing, and preparing outgoing shipments to meet deadlines and service standards.

Maintain organized, compliant physical and electronic filing systems to support efficient case handling and retrieval.

Serve as a point of escalation for complex or time-sensitive issues, exercising discretion to resolve non-standard situations.

Collaborate with teams and program managers to ensure effective service delivery and prioritize competing deadlines with real-time adjustments.

Identify opportunities to streamline in-office processes and enhance efficiency, consistency, and service quality.

Provide guidance, support, and training to staff and new ESC team members.

Ensure all client and case data is securely stored, transmitted, and accessed only through authorized systems, applying password protection and encryption to sensitive documents and communications.
Limit access to personal information to necessary team members and follow firm protocols for data retention, archiving, and deletion.
Report suspected data breaches or privacy incidents promptly and participate in ongoing data privacy training to stay updated on relevant laws and firm policies.

Qualifications

High School or College Diploma in Communications, Writing, Law, or Immigrant Studies.

2–3 years of administrative, office support, or professional services experience.
