Our client is a national real estate company, managing a diversified portfolio across office, industrial, retail, and multi-residential assets in major Canadian markets.
Your new role
As a Property Administrator, you will support a team of Property Managers with the day‑to‑day administrative and operational functions of a mixed commercial portfolio.
Key responsibilities include:
- Provide administrative and operational support to Property Managers across a mixed commercial portfolio.
- Prepare and manage purchase orders, contracts, and related operational documentation.
- Maintain accurate property, lease, and compliance records across physical and electronic filing systems.
- Collect and track tenant documentation, following up as required to ensure compliance with lease and policy requirements.
- Coordinate tenant, vendor, and contractor inquiries and support day‑to‑day communications.
- Assist with tenant meetings, engagement initiatives, and work order or service request administration.
- Support the coordination and tracking of site documentation, drawings, and fixtures where required.
- Carry out general office and administrative duties, including document preparation, records management, and office coordination.
- Ensure information is kept up to date, accurate, and collected within required time frames.
- Support additional operational and administrative tasks as needed.
What you'll need to succeed
- Previous experience in an administrative, coordinator, or office support role with experience in Property Management preferred.
- Strong attention to detail and comfort managing multiple priorities
- Confidence working with forms, documentation, and processes
- Excellent written and verbal communication skills
- Comfort working in a fast‑paced, deadline‑driven environment
- Proficiency in Microsoft Office (Outlook, Word, Excel) and Yardi preferred
- A collaborative attitude with a willingness to learn and grow within a team environment
