Position: Donor Care Representative, Office Administration (contract)

Position Summary

We are looking for a Donor Care Representative, Office Administration to join the Make-A-Wish Canada team. The role is based in Vancouver (2025 W Broadway) and is a full‑time, onsite, 14‑month contract position with a salary range of $45,000–$50,000.

Responsibilities
  • Provide exceptional customer service in the office and via phone and email, regarding a variety of fundraising, mission, and stewardship inquiries.
  • Manage office needs, including opening and closing the office daily, reception, and liaising with building management and internal stakeholders.
  • Enter and manage constituent and donor data accurately and promptly in CRM systems (Donor Drive & Salesforce), capturing donations and updating payments and constituent records.
  • Provide administrative support to the regional fundraising directors.
  • Maintain positive and collaborative relationships with internal team members to ensure donations are reviewed and completed in a timely manner.
  • Facilitate the issuance of tax receipts, acknowledgement cards, and other stewardship communications.
  • Maintain the integrity of the CRM system by complying with data integrity standards and policies.
  • Work closely with the Revenue Development, Finance and CRM Systems teams.
  • Perform other duties as assigned.
Qualifications
  • Relevant post‑secondary education or equivalent combination of training, education and work experience.
  • Minimum 1‑2 years of experience in a data entry environment; database data entry and reporting required.
  • 1‑2 years of customer service experience.
  • Excellent organizational skills and attention to detail, with strong ability to plan, prioritize and multi‑task to meet deadlines.
  • Exceptional customer service, communication, and problem‑solving skills.
  • Ability to manage large volumes of data entry on an ongoing basis.
  • Ability to handle highly confidential and sensitive information.
  • Strong experience working with Microsoft Office applications, especially Excel and Word.
  • Clear Criminal Background Check required.

Work Environment
  • This position requires presence at the office 5 days per week, with occasional requirements to work outside of regular office hours. Office hours are 8:00 am to 4:00 pm local time.
