Reports to: Executive Assistant and Operations Coordinator, Bridge Research Consortium
Hours: Temporary full-time (35 hours/week), to March 2028
Salary range: $64k–$76k annually (commensurate with experience)
Location: Simon Fraser University, Burnaby campus. Candidates with expert-level experience with SFU systems and policies may be able to negotiate on salary and hybrid working conditions.
ABOUT THE BRIDGE RESEARCH CONSORTIUM |
The Bridge Research Consortium (BRC) is a $13.56M project (2024–2028) funded through Stage 2 of the integrated Canada Biomedical Research Fund (CBRF) and Canada Foundation for Innovation (CFI)/Biosciences Research Infrastructure Fund (BRIF) competition, with contributions from additional funders. It is one of 19 projects funded to strengthen Canada’s biomanufacturing capacity for future pandemic readiness. The project team is composed of two Scientific Co-Directors, a multidisciplinary team of twelve leading social sciences and humanities scholars located at 9 universities across Canada, plus Australia and Vietnam, and a Knowledge Mobilization (KM) team located at Simon Fraser University (SFU).
The BRC Secretariat is responsible for the management of the overall project budget, issuing of annual funding to the Lead Scholars, issuing and managing contracts with national partners and service providers, and preparing midterm reports and other accountability activities.
POSITION SUMMARY
The Finance and Administration Coordinator manages day-to-day budget administration, expense compliance, and transaction tracking. They work with all BRC team members and with the Research Project Manager, Office of the Vice President, Research. The position reports to the BRC Executive Assistant and Operations Coordinator.
KEY RESPONSIBILITIES: BUDGET MANAGEMENT AND PROJECT ADMINISTRATION
• Prepare expense claims, journal vouchers, travel advances, and reimbursements via standard SFU processes.
• Review financial documents for accuracy, validity, and expense compliance with SFU and Tri-Agency policies. Cross check eligibility of expenses with the Research Project Manager (RPM) in the office of the Vice President, Research, as needed. Follow up on discrepancies.
• Ensure documentation is complete, accurate, and properly approved.
• Ensure all financial transactions are properly recorded and tracked — invoices, claims, reimbursements.
• Maintain and organize budget files in compliance with record management standards.
• Manage budget change processes and ensure expenditures align with approved budgets
• Ensure timely replenishment and accurate accounting of funds.
• Respond to financial inquiries, investigate and resolve issues, escalating when necessary.
• Regularly checks in and communicates with RPM on financial transactions and maintain liaison with departmental finance coordinator.
PROCUREMENT & VENDOR COORDINATION
• Obtain quotations for event expenses, travel, equipment, and capital purchases.
• Prepare and submit purchase requisitions for approval.
• Review budgets and contracts to ensure cost accuracy.
• Liaise with SFU Procurement on contract and purchasing processes.
• Submits purchase orders — computer hardware and office supplies through appropriate SFU units.
FINANCIAL MONITORING & REPORTING
• Assist RPM in monitoring and reconciling BRC budget using FAST.
• Assist RPM in preparing regular financial reports for BRC Co-Director and other stakeholders.
• Assist in financial analysis and forecast projections to ensure budget adherence.
• Identify and report discrepancies between budget and actual expenditures.
• Provide financial insights to support effective use of grant funded resources.
