Froude Management Inc. (FMI) is seeking a Project Administrator to support a wide range of ICI construction projects from pre-construction through closeout. This role works closely with Project Coordinators and Managers, Superintendents, and consultants to keep project documentation, communication, and follow-ups organized and moving forward.
The ideal candidate is highly organized, confident in communication, comfortable making frequent phone calls, and experienced using Procore to support day-to-day project administration.
Responsibility- Provide administrative support to project and site teams across one or more active projects
- Maintain accurate and up-to-date project documentation using Procore
- Create, distribute, track, and follow up on RFIs, submittals, shop drawings, and site instructions
- Ensure timely responses from consultants, subcontractors, and suppliers through consistent follow-up
- Assist with project reporting for owners, including status updates, logs, and summaries
- Maintain organized digital filing systems in accordance with FMI standards
- Support quality control documentation and deficiency tracking
- Ensure project records align with internal standards and regulatory requirements
- Act as a key point of contact for subcontractors, suppliers, and consultants on administrative matters
- Make frequent phone calls and send follow-up emails to trades and consultants to keep items moving
- Coordinate meetings, prepare agendas, take meeting minutes, and distribute action items
- Support clear and professional communication between project stakeholders
- Assist with subcontractor tendering, bid tracking, and award documentation
- Prepare purchase orders, subcontract documentation, and change order logs for review
- Assist with invoice processing, cost tracking, and documentation
- Support progress billings and basic project financial reporting
- Assist with preparation of proposals, reports, and presentations as required
- Create and maintain templates, logs, and tracking tools
- Support project closeout documentation, including O&M manuals and warranties
- Build and maintain strong working relationships with internal teams and external partners
- Minimum 1–2 years of experience in a Project Administrator, Project Coordinator, or construction administrative role (ICI experience preferred) in Vancouver, British Columbia
- Strong written and verbal communication skills, with confidence speaking to trades and consultants
- Comfortable making multiple phone calls daily and proactively following up on outstanding items
- Proficiency in Procore and Microsoft Office Suite (Word, Excel, Outlook)
- Highly organized with strong attention to detail
- Ability to manage multiple priorities and deadlines in a fast-paced construction environment
- Proactive, self-motivated, and solution-oriented
- Professional and service-oriented approach internally and externally
- Ability to develop and maintain effective stakeholder relationships
